Responsibilities

  • Provide clerical and administrative assistance.
  • Occasional supervisory responsibility.
  • Maintain diaries and arrange appointments.
  • General office system support including minute taking.
  • Actively support the council’s equal opportunities policy and promote positive attitudes towards minority ethnic groups, women, lesbian and gay men, and people with disabilities.
  • Carry out all duties with due regard to health and safety regulations, the council’s equal opportunity and customer care policies and new technology agreement.
  • Prioritise work and ensure that deadlines are met.
  • Be responsible and accountable for the quality of own work and accuracy.

General Duties

  • Provide support to the team manager and team staff when producing letters, reports, minute taking, photocopying and other office related tasks.
  • Effectively deal with telephone calls giving clear and precise information, problem solving where appropriate and communicating with colleagues.
  • Provide support to the duty phone system – answering calls, taking messages, referring and responding as necessary.
  • Maintain and support the Shared Lives record keeping and filing systems (paper and electronic).
  • Accurately record and maintain statistical information as required.
  • Collect, organise and distribute mail to relevant officers; assist the team manager in the compilation of mail-outs and letters, along with the production of a quarterly newsletter.
  • Provide support to the team manager when arranging meetings and taking minutes/writing up minutes in an accurate and timely manner.
  • Occasionally provide administrative support to vulnerable users of the service including supporting to complete quality assurance questionnaires in an independent way.
  • Utilise information technology and word processing packages to prepare and distribute reports, agendas, statistics, spreadsheets and other correspondence on behalf of the team manager.
  • Actively support other team members where required and where work has been prioritised accordingly.

Professional Development

  • Participate in team meetings and be involved in planning, co-ordination and implementation of Shared Lives policies as directed.
  • Undergo training as required to improve personal and professional skills.
  • Request and receive 1:1 supervision for professional development.
  • Participate in staff appraisal and development processes (PRaDS).

Other Duties

  • Undertake any other work appropriate to the level and general nature of the duties of the post.
  • Carry out all duties with due regard to provisions of health and safety regulations and legislation, Data protection legislation, the Council’s equal opportunities and customer care policies, and any local agreements.

Skills and Experience

  • Ability to prioritise and manage own workload.
  • Ability to work to deadlines and undertake designated tasks with minimum supervision.
  • Ability to take notes at meetings and produce minutes in a timely manner.
  • Effective and professional communication with a range of people, including service users, face-to-face and on the telephone.
  • Ability to prepare, collate and distribute information, mail-outs and letters independently.
  • Ability to book rooms, plan and organise meetings and support events as required.
  • Experience working in an administrative capacity within a busy team or service.
  • Experience and understanding of working with people with a learning disability and/or in another social care setting in an administrative capacity.
  • Understanding of, and commitment to, the Council’s equal opportunities policies and ability to promote and put into practice in the context of this post.
