Our London office is looking for an Office Administrator to join our local team and help run the daily operations.

  • Skilled at meeting dynamic deadlines while managing multiple responsibilities;

YOU WANT TO WORK WITH

  • Manage facility vendors (including cleaning, catering, post, and security services);
  • Care for the office space – keep it cozy, report any damages (electrical, sanitary, construction installations), order office furniture and supplies, and all other materials for proper office functioning;
  • Meet new employees (welcoming them), guests, suppliers, arrange visits if necessary;
  • Maintaining a journal of passes; monitoring of company equipment and systems;
  • Schedule group meetings, maintain calendars, do research, and create reports (if necessary);
  • Prepare the workplace for newcomers and guests;
  • Plan current and major changes in the office infrastructure;
  • Assist in events; prepare the office area for events;
  • Order front office supplies and keep an inventory of stock;
  • Manage contracts and price negotiations with office vendors, service providers, and office leases in cooperation with other teams;
  • Implement office policies by setting up procedures and standards to guide the operation of the office;
  • Ensure meeting office financial objectives: prepare an office annual budget, and office invoices/payments; plan the expenditures, analyze variances, make corrections;
  • Control and implementation of the company’s environmental standards;
  • Collaborate and communicate with the Occupational Health and Safety Department regarding accidents within the office perimeter;
  • Oversee the implementation of EMS (Environmental Management System) in controlled processes, ensuring full compliance with EMS standards;
  • Ensure all waste management processes (including hazardous materials) adhere to EMS requirements;
  • Provide on-site support for physical security services in coordination with the Guard Office.

  • Manage office work space, interacting with staff regarding office requirements;
  • Deal with other office inquiries as necessary;
  • Help local office run smoothly.
