Proactively support the Leadership Team in producing goods in a safe manner, being accountable for all aspects of documentation, KPI reporting, and people/product administration tasks.
Key Responsibilities
- Provide administrative support to the Head of Operations and Shift Leaders, including scanning, typing, filing, and processing paperwork.
- Complete wage corrections, exceptions, and clocking error updates for Sofina colleagues and temporary workers.
- Process Right to Work documentation promptly and accurately.
- Communicate and distribute paperwork to relevant departments, including updates to procedures.
- Maintain registers, shift rotas, line maps, centre lines, KPI trackers, and other operational tools.
- Input and update data in site systems such as MIMO, SAP, SOPES, and INNOVA.
- Complete Change of Particulars forms for permanent and temporary staff.
- Attend meetings as a scribe, recording and publishing actions for H&S, projects, DDS, and factory discussions.
- Collate and record NMR and safety observations, as well as labour and yield meeting actions.
Safety & Hygiene:
- Act as a role model for safe working practices and report any safety, health, or environmental issues promptly.
- Liaise with management on reasonable safety requests and ensure WTD risk assessments are completed and distributed.
- Promote clean‑as‑you‑go and good manufacturing practices within your area.
Quality, Cost & Accreditation:
- Support a strong food safety and quality culture across the site.
- Drive cost‑saving and continuous improvement initiatives within your department.
- Contribute to maintaining high audit standards and supporting excellent performance in production and packing.
The Ideal Candidate
- 3+ years of administration experience, preferably in FMCG environments.
- Experience working in a food manufacturing environment.
- Excellent administrative skills and proficiency with Microsoft Office (Word, Excel, PowerPoint).
- Efficient in delivering objectives and workload.
- Ability to work with peers in a matrix structure to draw in external skills to achieve local goals.
- Track record of delivery.
