About the Role
Sodexo Government is looking for a MailroomOperative to join the team at HMP Addiewell.
This is an important administrative role responsible for managing correspondence entering and leaving the establishment, ensuring that mail is processed accurately, securely and in line with all relevant policies, procedures and operational requirements.
You will be part of a multi-tasked team, providing an efficient and professional service to colleagues, prisoners, their families, external organisations and other stakeholders.
Key Responsibilities
As a Prison Correspondence Administrator, your responsibilities will include:
- Managing all incoming and outgoing correspondence and ensuring it reaches the relevant department.
- Recording and processing special and recorded delivery items.
- Responding to internal and external queries relating to mail in a professional and timely manner.
- Maintaining accurate records and internal databases relating to correspondence.
- Ensuring all mail processes are carried out in accordance with current policies, procedures and guidelines.
- Liaising with employees, prisoner family members, Royal Mail and other external parties in a polite, confident and professional manner.
- Managing and maintaining Mail Room stock through established procurement processes.
- Maintaining strict confidentiality at all times.
- Providing administrative cover and support to other areas of the team when required.
- Undertaking other duties that contribute to the effective operation of the establishment.
What We're Looking For
We are looking for someone who is organised, reliable and able to work effectively in a busy and structured environment.
You will ideally have:
- Strong organisational skills and excellent attention to detail.
- Good written and verbal communication skills.
- The ability to prioritise workloads and meet deadlines.
- Basic IT skills, including Microsoft Word, Excel and Outlook.
- A professional and customer-focused approach.
- The ability to work independently while also contributing positively to a wider team.
- Good problem-solving skills and the ability to deal confidently with queries.
- Flexibility and adaptability when priorities, procedures or workloads change.
- The ability to maintain confidentiality and follow strict policies and procedures.
