Sodexo is looking for a Records & Archive Assistant to join our Records Management & Archiving team based at GSK's prestigious Stevenage research site. This is an excellent opportunity for someone who is organised, detail‑oriented and confident using IT systems to build a career within records management, compliance and administration. No previous pharmaceutical or archiving experience is required – full training will be provided.
Working as part of a small, close‑knit and diverse team, you'll play an important role in supporting GSK's world‑leading Research & Development activities by ensuring critical records and archived materials are managed accurately, securely and in line with regulatory requirements. The pharmaceutical industry is constantly evolving, and so is this role. You'll receive ongoing training and development to keep your knowledge and skills up to date, giving you the opportunity to learn, grow and develop within a highly regulated and innovative environment.
What You'll Be Doing
As a Records & Archive Assistant, you'll support the day‑to‑day operation of the archive service, ensuring records and materials are accurately processed, stored, maintained and retrieved in line with strict quality and compliance standards. Key responsibilities include:
- Processing and categorising incoming archive materials
- Carrying out accurate data entry across multiple software systems and databases
- Performing quality checks to ensure information is complete, accurate and compliant
- Managing physical and electronic records in accordance with established procedures
- Supporting document scanning and digital record creation
- Retrieving archived materials and responding to customer requests
- Maintaining accurate audit trails and archive tracking records
- Conducting routine archive facility and equipment checks
- Working closely with internal stakeholders and third‑party contractors
- Supporting compliance with regulatory and quality standards within a pharmaceutical environment
What We're Looking For
This role would suit someone with experience in administration, document control, records management, data processing or another detail‑focused environment. Most importantly, we're looking for someone who is:
- Highly organised with excellent attention to detail
- IT literate and confident learning and using multiple software systems
- Comfortable working with large volumes of information and data
- Able to maintain accuracy whilst working at pace

You'll also have GCSE Maths and English (or equivalent). Previous administration or records‑based experience would be advantageous but is not essential.
