We are looking for a professional, approachable and customer-focused Visitor Services Assistant to join our team at Colchester Hospital. In this varied frontline role, you will help create a welcoming and positive experience for patients, visitors and staff. You will support reception, helpdesk, cashier, car parking and general office services while ensuring enquiries and service requests are handled efficiently, sensitively and accurately. What you’ll do:

  • Provide a friendly and professional service at the main reception and Welcome Desk.
  • Assist patients, visitors and staff with enquiries, directions and service requests.
  • Respond to calls and emails relating to portering, transport, security, housekeeping, catering, estates, linen and laundry services.
  • Record requests accurately on systems such as FM First and Health Roster, providing task reference numbers where required.
  • Log staff absences, complete the relevant documentation and update absence and return-to-work records.
  • Operate badge access systems and issue visitor passes in line with security procedures.
  • Support car parking services, including enquiries, payments and Penalty Charge Notice administration.
  • Process cash transactions, complete daily reconciliations and maintain accurate records for audit purposes.
  • Carry out general administrative duties, including data entry, filing, document handling and spreadsheet updates.
  • Handle complaints and sensitive enquiries professionally, escalating issues when appropriate.
  • Maintain confidentiality and follow information governance, health and safety and Trust procedures.
  • Work collaboratively with colleagues, ward managers and service users to support smooth service delivery across hospital and community sites.

What you bring:

  • Previous experience in a customer service, facilities management or team-leading environment.
  • Excellent communication and interpersonal skills, with a polite, caring and professional approach.
  • Strong organisational and administrative abilities.
  • The ability to manage several priorities accurately within a fast-paced environment.
  • Confidence handling cash, maintaining records and working with sensitive information.
  • A good understanding of confidentiality and the importance of protecting patient privacy and dignity.
  • The ability to remain calm, empathetic and helpful when handling difficult or sensitive interactions.
  • Competence using Microsoft Office and reporting tools.
  • Experience within an NHS or healthcare environment would be advantageous.
  • Knowledge of access control, visitor management, parking systems or PCN procedures would also be beneficial.
