Job Description:

Are you an experienced administrator who enjoys keeping things organised, working with a wide range of people and making sure everything runs smoothly behind the scenes?

We’re looking for a Management Committee Senior Administrator to join our team at Corporal Budd VC Gymnasium in Colchester. This is a varied role where you’ll provide high-level administrative and operational support within a busy Facilities Management environment.

You’ll be a key point of contact supporting the Amenities Manager, Management Committee, permitted user clubs and wider stakeholders, helping to ensure that important documentation, reporting, financial information and day-to-day administration are managed accurately and on time.

What You’ll Do:

  • Providing senior administrative and secretarial support to the Management Committee and wider management team.
  • Managing documentation for approximately 60 permitted user and MOD-sponsored clubs, ensuring all required paperwork is complete and up to date.
  • Processing licence agreements and monitoring associated documentation, including insurance, risk assessments and declarations.
  • Tracking insurance expiry dates, risk assessments and other key information to ensure records remain accurate and compliant.
  • Supporting permitted user invoicing, including checking usage, maintaining accurate records, tracking payments and following up outstanding debts.
  • Providing financial and commercial information to support the Management Committee Treasurer and wider reporting requirements.
  • Maintaining the Combined Tracker and other performance reporting tools, ensuring information is accurate and deadlines are met.
  • Coordinating information from multiple stakeholders and monitoring KPIs, risks and actions.
  • Preparing and collating reports, meeting packs and supporting documentation.
  • Attending meetings with permitted users where required, taking minutes and tracking actions through to completion.
  • Acting as a central point of contact for administrative queries and processes.
  • Managing document control, version management and filing systems.
  • Preparing and circulating notices and communications to stakeholders.
  • Building strong working relationships with the Garrison Estate and Facilities teams, Sodexo colleagues, the client, Authority and permitted users.

What You Bring:

  • Proven experience in a senior administrative or coordination role, preferably within Facilities Management, sports and leisure or another contract-driven environment.
  • Strong organisational and time-management skills, with the ability to manage competing priorities and deadlines.
  • Excellent communication and stakeholder management skills.
  • Strong attention to detail, particularly when dealing with financial information, reporting and documentation.
  • Excellent written communication and minute-taking skills.
  • Good experience using Microsoft Office, particularly Excel, PowerPoint and Outlook.
  • The confidence to chase actions, challenge missing information and ensure deadlines are met.
  • A proactive, solutions-focused approach and the ability to work calmly in a fast-paced environment.
  • A high level of professionalism, discretion and confidentiality.
  • A Level 3 qualification in Business Administration, Facilities Management or equivalent.
