The Executive Assistant will work with the Chair of the Global Strategic Communications practice, providing essential administrative support to ensure the smooth and efficient running of day-to-day operations. The Executive Assistant will act as a central point of coordination for schedules, communications, and key relationships, helping to maintain a high level of organisation and professionalism across the business.
The role requires a proactive and organised individual who is comfortable managing multiple priorities, anticipating needs, and supporting both business and private commitments. From overseeing inboxes and diaries to coordinating meetings, events, travel, and administrative processes, the Executive Assistant will play a key role in enabling the Chair to focus on strategic and client-facing work, while ensuring that internal operations and external interactions run smoothly.
Key Responsibilities- Provide high-level administrative and strategic support to Chair of the Global Strategic Communications practice.
- Manage and monitor inbox, prioritising correspondence, responding where appropriate, and ensuring timely escalation of key issues and requests.
- Maintain complex and dynamic diary, scheduling and coordinating both business and personal commitments, resolving conflicts, and ensuring effective use of time across multiple stakeholders.
- Act as a trusted first point of contact for all relationships, including clients, prospective targets, bankers, and other external stakeholders, ensuring a professional, discreet, and welcoming approach at all times.
- Work with the wider team to ensure the Chair is prepared and briefed for meetings.
- Handle confidential and sensitive information with discretion, professionalism, and sound judgment.
- Plan, coordinate, and deliver a range of events, including private dinners, tables for charity events, industry lunches, and seasonal events, managing logistics, guest lists, liaising with venues and suppliers.
- Arrange and manage international business travel, including regular flights to Dublin, accommodation, and ground transport when required, ensuring cost-effectiveness and smooth itineraries.
- Prepare, submit, and track expenses claims.
- Collect and submit accurate hours for timesheets.
- Oversee administration for some personal business matters, manage the payment and administration of various household bills, occasional travel organisation for family.
- Work with Office Manager to provide ad hoc support/cover on office management duties – guest sign ins and greetings, room bookings, facilities management.
- Support other Senior Managing Directors and Managing Directors with ad hoc assistance as required.
- Work with Office Manager to manage the visits of senior international colleagues to the office.
- Ad hoc support on office event management.
- Experience in supporting senior executives, ideally within a professional services, consulting, or fast-paced corporate environment.
- Proven experience managing complex calendars, travel arrangements, and meeting logistics across multiple time zones.
- Strong organizational and time-management skills, with the ability to prioritise competing demands and handle confidential information with discretion.
- Empathetic manner to engage with a vast range of contacts.
- Excellent written and verbal communication skills, including preparing correspondence and presentations.
- Highly detail-oriented with a proactive, solutions-focused approach to problem-solving.
- Comfortable working in fast-paced, evolving environments where priorities may shift.
- Willingness to provide ad-hoc support and travel domestically or internationally as required.
