We are seeking a highly organised and proactive Executive Assistant to support our Chief Executive Officer. We need a high-level Executive Assistant to take the administrative weight off the leadership team. While you will manage day-to-day operations, your primary "special project" will be the administration and coordination of our internal and external contracts.
The successful candidate will play a vital role in ensuring the smooth operation of executive functions, managing schedules, and facilitating effective communication across departments. This position offers an excellent opportunity for an individual with strong administrative skills to contribute to the strategic growth of our organisation.
- Administrative Hub: Act as the point of contact for group companies and external vendors regarding paperwork and scheduling.
- Ideal Candidate: A "super-organizer" who can switch from booking a meeting to spotting a typo in a Master Service Agreement (MSA).
- Contract Coordination: Facilitate the signing process (e.g., DocuSign), track deadlines, and gather necessary documentation from new contractors.
- Supplier Liaison: Manage the "onboarding" of new suppliers, ensuring they have submitted their terms and insurance details.
- Executive Support: Assist with general business admin, board minutes, and ensuring the business runs like a well-oiled machine.
- Manage and maintain the CEO's calendar, scheduling meetings, appointments, and travel arrangements with precision.
- Prepare and organise documents, reports, and presentations using Microsoft Office and Google Workspace tools.
- Handle correspondence on behalf of the CEO, including emails, phone calls, and other communications, demonstrating professional phone etiquette.
- Assist with data entry tasks and maintain accurate records in organisational databases such as QuickBooks.
- Coordinate internal meetings and events, ensuring all logistics are efficiently managed.
- Support general administrative functions including filing, photocopying, and organising office supplies.
- Liaise with clients, partners, and staff to facilitate effective communication channels.
- Conduct research or gather information as needed to support strategic decision-making.
Qualifications:
- Proven experience in an administrative or clerical role, preferably supporting senior executives.
