The Opportunity

We're looking for a brilliant operator to be the heart of Soar Group's in-house people function. Soar Group is the UK's fastest-growing performance agency group - Hambi Media, For You Advertising, and Soar With Us. We're around 100 people across London and remote, and the lifecycle activity that keeps a group this size running well has become a craft in its own right.

This is the operational spine of the people function - for someone who genuinely enjoys making things run. Contracts out cleanly. A memorable onboarding experience. Comms that land in the right tone. The hundred small things most companies forget, and then wonder why culture feels flat. You'll partner closely with the Head of Performance and Development and the Senior Talent Partner to deliver an industry leading employee experience.

What You'll Own

  • Employee Lifecycle Operations
    • Issue and manage employment contracts and offer letters across the group
    • Run reference checks, right-to-work compliance, and background screening
    • Coordinate payroll inputs and benefits administration with our external partners
    • Manage leavers with the same care as joiners
    • Track attendance and coordinate training activity
  • Recruitment Operations
    • Support the Senior Talent Partner with interview scheduling, candidate communications, and ATS hygiene
    • Be the first point of contact for candidate logistics to ensure every candidate has a smooth, professional experience regardless of outcome
    • Maintain recruitment data integrity so reporting reflects reality
  • Employee Experience
    • Draft and send operational internal comms - joiners, leavers, policy updates, milestone moments
    • Co-own the social committee - team events, celebrations, the moments that hold a culture together
    • Office management for our Chalk Farm home: supplier relationships, the feel of the space, making it a place people want to be in
    • Work closely with the marketing team to develop content for our social media channels that promotes the group as a great place to work

Requirements

This role demands someone genuinely organised, warm, and detail-obsessed - with real care for the craft of coordination and the people it serves.

Must-Have:

  • 2+ years in HR coordination, people operations, or talent coordination
  • Genuinely organised. Things don't fall through the cracks with you
  • Warm, direct communicator. You can write a leaver announcement and a contract clarification in the same day and get the tone right for both
  • Care for the small things — first-day welcome, the right Slack intro, a contract that arrived on time
  • Comfortable using AI as part of your day-to-day workflow

Nice-to-Have:

  • Creative, agency, or media environment experience
  • Multi-entity or multi-brand admin exposure
  • CIPD Level 3 (or working towards it)
  • Event coordination experience

What Success Looks Like:

In your first 3 months:

  • Every new starter across the group has a day-one experience that feels deliberate and high-standard
  • Contracts, references, and onboarding admin are running cleanly with zero slips
  • You've built trusted relationships across the group
  • You’re proactively identifying stories to evangelise our employer brand

By month 6:

  • Lifecycle operations run so well they're invisible - the highest compliment this work can receive
  • You've co-launched at least one meaningful culture moment that team members talk about
  • You're operationally independent, trusted to run coordination with minimal oversight
  • You've identified at least two process improvements that have made the function measurably better
