About the Role

  • Location - Remote (UK-based) with regular travel to Bournemouth (UK Warehouse), Surrey (HQ), London (Retail flagship), and Bocholt (Germany Warehouse)
  • Position Type - Full-Time, 40 hours per week
  • Reporting Line - Directly to the Buying & Merchandise Director, with a dotted line to the Managing Director. Reporting into this role is our Operations & Aftersales Executive.
  • Key Systems - SAP by Design, Warehouse Management Systems (WMS), E-commerce platforms

As our Inventory & Stock Control Manager, you will be the absolute guardian of data integrity and stock accuracy across our entire retail, e-commerce, and multi-site warehouse network. This is a high-impact, cross-functional role that bridges the gap between digital systems and physical operations. You will ensure that every SKU —a cross complex technical gear and multi-variant apparel collections—is accurately tracked, synchronised, and optimised from inbound arrival to final customer delivery.

Key Responsibilities

  • Inventory Governance, Accuracy & Auditing
    • Own the Numbers: Maintain a strict inventory accuracy target across all internal warehouses, our London flagship store, and international 3PL locations.
    • Structured Auditing: Design, schedule, and lead comprehensive cycle count programs, quarterly retail stock takes, warehouse PI (Perpetual Inventory) counts, and annual financial audits.
    • Root-Cause Investigation: Take full ownership of problem-solving for stock discrepancies. Conduct deep-dive analyses into variances, implement corrective actions, and establish robust inventory control frameworks to minimize shrinkage and financial exposure.
    • Adjustment Governance: Review, document, and approve all inventory adjustments, maintaining pristine compliance trails for financial and management reporting.
  • Inbound Logistics & Supply Chain Operations
    • Delivery Management: Create, track, and manage all inbound deliveries within SAP and the WMS, proactively monitoring arrival schedules and coordinating intake priorities.
    • Booking & Quality Control: Oversee the booking-in of Purchase Orders (POs) upon arrival. Ensure thorough quality checks, verify quantities, pricing, and product descriptions, and sign off on Goods In acceptance.
    • Customs & Compliance: Act as the primary operational link for Freight Forwarders (FF), providing all required shipping, customs, and import/export documentation.
    • Master Data Setup: Lead product and catalogue configurations within the WMS, including accurate HS code assignment and data entry for new product introductions.
    • Archiving: Maintain an organised digital archive and backup system for all supply chain and compliance documents to ensure swift retrieval during audits.
  • Stock Movement & Retail Optimisation
    • Stock Allocations & Transfers: Execute and control system stock transfers (including inter-warehouse, store-to-store, and intercompany movements) to optimise inventory distribution and support retail replenishment.
    • Retail Floor Excellence: Partner with the London store team to manage back-of-house (BOH) organisation. Establish high standards for stockroom layout, accessibility, and space utilisation.
    • Product Lifecycle Control: Manage the complete inventory lifecycle—including markdown allocations, write-offs, code changes, and end-of-season clearance transitions. Lead the inventory project management for seasonal changeovers.
    • Data Resolution Projects: Spearhead systematic clean-up projects, including the troubleshooting and resolution of non-barcoded items or missing product tags across the network.
    • RFID & Barcoding: Oversee the retail RFID tagging and scanning processes, managing exception reporting and resolving system anomalies swiftly.
  • 3PL & Warehouse Governance
    • Logistics Partner Management: Own the operational relationship and performance governance with our 3PL partners (including UK and EU sites like Bocholt). Ensure strict adherence to SLAs regarding accuracy, processing times, and reporting.
    • Site Inspections: Conduct regular physical site visits to our warehouses in Bournemouth and Germany to review processes, space optimisation, and physical security controls.
    • Returns Management: Standardise and optimise both the RTW (Return to Warehouse) and RTV (Return to Vendor) workflows, ensuring returns are processed rapidly back into sellable inventory or managed as faulty stock.
    • Financial Oversight: Review warehouse fulfilment invoices and actively participate in monthly operational cost analysis meetings to identify efficiency opportunities and reduce operational spend.
  • Systems Integrity & Cross-Functional Partnership
    • System Synchronisation: Act as the ultimate inventory "super-user," ensuring seamless stock data flows and real-time visibility between our ERP (SAP), WMS, e-commerce backend, and Point of Sale (POS/Shopify) systems.
    • Cross-System Reconciliation: Perform routine system-to-system reconciliations, identify root causes for transactional sync failures, and work with IT to automate manual workarounds.
    • Stakeholder Collaboration: Partner directly with:
      • Merchandising & Supply Chain: On demand planning, seasonal apparel intake forecasting, and ageing inventory management.
      • Finance: On monthly reconciliations, stock loss reporting, and asset value adjustments.
      • Retail & Commercial: Providing proactive visibility into stock availability, risks, and fulfilment constraints.
    • Functional Mentorship: Act as a key leader within the wider operations on Stock Management—coaching, mentoring, and developing cross-departmental team members on inventory best practices to foster a culture of accuracy and accountability.
  • Reporting & Performance Analytics
    • KPI Tracking: Define, monitor, and report on key performance metrics including absolute accuracy %, shrinkage, ageing stock volumes, and reconciliation turnaround times.
    • Executive Reporting: Deliver clear weekly and monthly inventory summary reports by location and season, complete with actionable commentary on major movements and preventative risk recommendations for the senior leadership team.

What We’re Looking For

  • Experience: 5+ years of progressive experience in inventory management, stock control, warehouse operations, or retail fulfilment—ideally within a premium retail, fashion, luxury, or outdoor goods brand.
  • Multi-Site Scope: Proven track record managing inventory data across multiple physical locations, including a mix of direct brick-and-mortar retail and outsourced 3PL environments. Experience with UK-EU cross-border logistics is a major plus.
  • Technical Expertise: Advanced Excel capabilities (handling large datasets, VLOOKUPs, Pivot Tables, data modelling) alongside deep, hands-on experience navigating robust ERP systems (e.g., SAP, Microsoft Dynamics) and WMS environments. Knowledge of Shopify is highly advantageous.
  • Analytical Mindset: Highly structured, methodical, and investigative. You should enjoy diving deep into data anomalies just as much as optimising a physical stockroom floor.
  • Communication & Influence: Excellent interpersonal skills with the ability to translate complex data discrepancies into clear, actionable insights for operations, finance, and commercial stakeholders.
  • Adaptability: Comfortable operating independently in a fast-paced, scaling, and entrepreneurial environment where priorities can shift rapidly.
