The opportunity: In your role as Receptionist and Administration Assistant you will be responsible for full reception desk duties, which includes answering calls, greeting visitors, along with assisting the management team with ad-hoc administration duties such as filing, raising purchase orders, booking travel, organizing meetings and carrying out inductions.
How You Will Impact Smurfit Westrock
- Ensure that telephones are answered promptly and that accurate information is passed to the appropriate recipient in a timely manner.
- Regularly check email inboxes to deal with emails and forward to the relevant recipient where necessary.
- Welcome visitors in line with the company sign-in procedures and ensuring inductions are carried out.
- Coordinate and maintain the Access Controls system for the site – Issuing visitor passes, updating employee access levels and completing regular audits to ensure correct levels of access are applied.
- Manage incoming and outgoing post ensuring prompt despatch and delivery where required.
- Maintain tidiness and housekeeping of the reception, post areas and shared office areas.
- Checking, date stamping and initial all incoming documents prior to forwarding on to the relevant recipient.
- Maintain sufficient stock levels of stationary, refreshments, health and safety and cleaning products, ordering supplies as required by the company.
- Updating employee notice boards with important information from management and HR.
- Raising purchase orders and booking travel as and when requested.
- Process delivery notes and amend orders where required.
- Delivering highly confidential messages to Management and HR, such as absence information.
- Accurately file and maintain company documents in compliance with General Data Protection Regulations (GDPR)
- Provide ad-hoc administration assistance to the management and HR where required.
- Supporting HR with confidential admin where required such as printing, posting letters, scanning documents and relaying messages between HR/employees when HR are off site.
- Engagement champion for the site e.g. Make A Difference, CSR
- Support management with Time and Attendance admin and training.
