About the Role
SMT Recruitment are currently recruiting for an
Executive Office Administrator to provide administrative support within a busy Executive Office in St Albans on a temporary basis until December.
This is a varied administrative role supporting the smooth running of the Executive Office.
You will assist with meeting coordination, maintaining accurate records, preparing documentation, monitoring shared inboxes and tracking outstanding actions.
Key Responsibilities
- Providing general administrative support to the Executive Office and wider administration team.
- Organising meetings, including room bookings, invitations, hospitality and technology requirements.
- Preparing, formatting and distributing agendas, reports, meeting papers and other documentation.
- Monitoring shared inboxes, responding to routine enquiries and directing queries to the appropriate colleague.
- Maintaining accurate electronic filing systems, records and databases.
- Handling confidential information appropriately and in line with GDPR requirements.
- Maintaining action logs and trackers, following up on outstanding actions and providing updates where required.
- Supporting committee, governance and executive meetings, including preparing and distributing relevant paperwork.
- Liaising with internal and external stakeholders regarding meetings and administrative arrangements.
- Supporting events, open days and other projects with administration and coordination.
- Providing general administrative support to the wider team as required.
About You
The successful candidate will have previous experience working in an administrative or office-based role and will be highly organised, reliable and detail-oriented.
You will need to be confident managing a varied workload, working to deadlines and communicating with a range of internal and external contacts.
Experience arranging meetings and maintaining records is essential, along with good knowledge of
Microsoft 365, including Outlook, Word, Excel, Power Point and Teams .
Experience supporting senior managers, working within an education or public-sector environment, or dealing with governance and committee administration would be advantageous but is not essential.
