About The Role
We are looking for a UED Administrator to be based at our Bruntingthorpe depot. This role plays a key part in supporting the Used Equipment Department (UED), managing the end‑to‑end Order to Delivery process, and ensuring smooth administrative operations, accurate inventory management, and a high standard of service delivery across all equipment sales activities.
Responsibilities
- Managing the full Order to Delivery process, from order entry and specification checks through to invoicing, delivery, and finalisation of documentation
- Supporting process management and quality control, ensuring consistency across the end‑to‑end sales cycle
- Acting as the primary interface between Sales Administration and the workshop, resolving queries and supporting process improvements
- Maintaining accurate data within the Dealer Management System (DMS), ensuring system integrity and reliability
- Working closely with ASMs and UED Sales to manage machine reservations, inventory, and pre‑order requirements
- Liaising with suppliers and raising purchase orders, as well as coordinating with external finance providers to ensure timely and accurate invoicing and payment
- Producing residual value (RV) and GBB quotes, supporting regional sales teams within agreed timeframes
- Supporting End of Life (EOL) management and stakeholder reviews, working with internal teams to manage asset lifecycle processes
- Producing and maintaining internal and external stock reports, including website updates and Mascus listings
- Delivering ad hoc reporting, project work, and process improvements, proactively identifying and resolving issues
- Providing cross‑functional support across the department and contributing to sales meetings when required
- Ensuring compliance with health, safety, quality, and environmental standards at all times
About You
- Strong organisational skills with the ability to multi‑task and prioritise effectively
- Excellent communication and relationship‑building skills with both internal and external stakeholders
- A proactive, can‑do attitude with the ability to identify improvements and solve problems
- Strong numeracy and analytical skills, with attention to detail when working with data and reports
- Good IT literacy, particularly in Microsoft Office, and confidence learning new systems such as DMS
- Ability to work accurately under pressure, both independently and as part of a team
- Understanding of the Volvo CE product range (or willingness to learn) would be advantageous
