Reception Coordinator – Administration

Location: Stepney Green, E1 4DT (This is a fully office based role)

Salary: £23,000 – £26,000 per annum

Role

You will play a central role in ensuring the smooth operation of office administration tasks, from general admin and reception duties to health & safety duties. You need to have reception or administration experience, or both, and be reliable with good written and verbal customer service skills.

Key Responsibilities

  • Meet and greet visitors, ensure the visitor log is completed, advise departments on visitor arrivals, and send customer feedback emails.
  • Receiving, signing and informing or distributing to relevant departments via Teams.
  • Answer and direct calls via various platforms and assist tenants with queries, booking appointments, or directing them to speak to the relevant persons.
  • Assist clients by explaining lettings processes, collecting and informing them of required documentation, taking pending payments, distributing keys, and feeding information back to the admin department.
  • Assist tenants with final account balance checks and end of tenancy payments outstanding.
  • Send out various documents to landlords and tenants with information requirements.
  • Ensure end of tenancy calls and emails are actioned to current tenants with relevant instructions and key return processes in line with GDPR before responding.
  • Complete relevant checks and documentation, update systems to ensure other departments have updated information.
  • Notify current tenants of new tenants due to move in and when, and send welcome emails to new tenants.
  • Assist with key sorting of tags, labels and other admin tasks as assigned.
  • Health & Safety: test fire alarm weekly, monitor entrance, deliveries, visitors, door card issuance, general H&S signs, and other H&S duties.
  • Office and kitchen stock checks and orders, manage daily fruit and milk, and maintain reception/front office area.
  • Manage coffee machine cleans and stock orders daily and weekly.
  • Support ideas and improvements for the front of house area.
  • Be able to stay longer hours during busy seasons if required.

Skills And Qualifications

  • Excellent telephone manner and face-to-face customer service aptitude.
  • Great computer skills and knowledge of Word, Excel, Teams, Microsoft.
  • Excellent communicator in both verbal and written English.
  • 2 years established previous experience in reception and administration duties.
  • Strong and confident, able to multitask and prioritise in a busy fast-paced environment.
  • Excellent time management and organisational skills.
