The Role:
We are seeking a highly organised and detail-oriented Order Administration Coordinator to join our team. This role is responsible for managing the Order Entry process, ensuring customer orders are processed accurately and on time, while supporting the delivery of excellent customer service.
Working closely with colleagues across Sales, Supply Chain, and Operations, you will coordinate order processing activities, support the Inside Sales team with administrative tasks, and proactively communicate any issues that may impact customer delivery requirements.
Key Responsibilities:
- Manage and monitor the Order Entry mailbox, ensuring all enquiries and orders are actioned promptly
- Coordinate and allocate workload to the Order Entry team based in Romania
- Ensure all orders received by the business are processed accurately and in a timely manner
- Proactively identify and communicate any potential supply or fulfilment issues to the customer or relevant department within the business, to resolve delivery date issues
- Provide administrative support to the Inside Sales team, including setting up new user accounts and arranging express orders directly with suppliers
- Maintain accurate records and ensure compliance with internal processes and procedures
- Participate in training and development activities to enhance role-specific knowledge, skills, and best practices
- Attend and contribute to team, departmental and cross-functional meetings as required
- Support continuous improvement initiatives to enhance order processing efficiency and customer satisfaction
Skills and Experience:
- Previous experience in an order administration, sales support, customer service, or similar administrative role.
- Strong attention to detail with a high degree of accuracy in data entry and order processing.
- Excellent organisational and time management skills.
- Clear, concise, and confident communication style.
- Confident working with Microsoft Office
- Able to work independently in a team-oriented and fast paced environment.
- Customer-focused mindset with a proactive approach to problem-solving.

The Selection Process:
Previous experience in an order processing, order administration, sales support, customer service or administrative role. Strong data entry skills with a high level of accuracy and attention to detail.
