About the Role
We are looking for an organised and professional Office Co-Ordinator to support our client with the smooth day-to-day running of a busy office and operational environment.
You will work closely with departments across the business, acting as a key point of contact for customers, suppliers, contractors, visitors and internal teams.
This role will involve administration, scheduling, reporting, customer communication and supporting operational processes.
Responsibilities
- Welcome visitors, clients, customers and contractors in a professional and friendly manner.
- Respond to general emails, post and customer/supplier correspondence.
- Keep files, records and archives accurate, accessible and auditable.
- Coordinate and prepare daily maintenance work schedules.
- Create and issue worksheets ahead of the next working day.
- Prioritise work based on urgency, business needs and customer requirements.
- Support ordering systems, stock inventory and replenishment.
- Assist with training records, accident and incident reporting and return-to-work documentation.
- Support maintenance records, completion sheets and contractual filing.
- Produce and maintain reports and operational data.
- Work with the General Manager and wider teams to support business reporting requirements.
- Help improve office processes and ensure office-based functions are completed accurately and on time.
Skills and Experience
- Previous experience in an office coordination, administration or customer service role.
- Strong organisational and time management skills.
- Ability to prioritise a busy workload.
- Excellent communication skills.
- Good attention to detail.
- Confident using Microsoft Office, including Excel, Word and Outlook.
- Able to handle confidential information appropriately.
- Customer-focused with a professional and approachable manner.
- Experience with scheduling, job management or maintenance management systems would be desirable.
Qualifications
- GCSE English and Maths, or equivalent, required.
