An exciting opportunity has arisen for an experienced Talent Acquisition Specialist to join our team on a 6-month fixed-term contract (FTC), with the potential to transition into a permanent position. Purpose
We are seeking a highly organised and proactive Talent Acquisition Specialist to manage and coordinate all temporary labour requirements across the business, specifically within the Smarts function. This is a dynamic and fast-paced role that involves end-to-end coordination of temporary staffing needs, including cover for sickness, annual leave, vacancies, and periods of increased workload across various business units. This role is based at our Head Office in Aldgate, London (EC3N 1LJ), with standard working hours of Monday to Friday, 8:00am to 5:00pm. Once you’ve settled into the position and have a solid understanding of the responsibilities and expectations, you’ll have the opportunity to enjoy flexible working arrangements - typically three days in the office and two days working from home each week.
Key Tasks and Responsibilities
- Develop and implement effective sourcing strategies to attract top talent for various roles within the organization.
- Utilize a variety of channels, including job boards, social media, networking events, and referrals to identify and engage potential candidates.
- Conduct proactive outreach to passive candidates and build talent pipelines for future hiring needs.
- Execute the Talent Acquisition strategy in alignment with the overall business objectives and HR goals.
- Collaborate with the Head of Talent Acquisition to refine and optimize recruitment processes and practices.
- Build and maintain strong relationships with hiring managers and other internal stakeholders to understand their hiring needs and provide strategic recruitment support.
- Act as a trusted advisor to management on recruitment best practices, market trends, and candidate availability.
- Facilitate regular meetings with hiring managers to discuss recruitment progress and address any concerns or challenges.
- Conduct comprehensive candidate assessments, including resume screening, interviews, and reference checks, to ensure high-quality hires.
- Ensure a positive candidate experience throughout the recruitment process by providing timely and professional communication.
- Manage the interview scheduling process and keep candidates informed of their status and next steps.
- Own the full lifecycle of temporary labour bookings – from receiving requests to successful deployment.
- Ensure all bookings are accurately entered into the system and appropriately scheduled across the business units.
- Gather feedback from candidates to continuously improve the recruitment process and candidate experience.
- Act as the central point of contact for scheduling internal temporary resources.
- This role can often become heavily focused on scheduling during peak periods, requiring attention to detail and efficient time management.
- Manage and deploy a vetted internal pool of temporary workers built up by the business.
- Maintain accurate and up-to-date candidate records in the applicant tracking system (ATS).
- Prepare and submit a detailed monthly report on temporary labour spend for senior management.
- Ensure insights are accurate, timely, and aligned with budget expectations.
- Work closely with a third-party payroll provider to manage the weekly payroll process for internal temporary workers.
- Ensure compliance with all relevant employment laws and regulations throughout the recruitment process.
Education and Training
Minimum of 2–5 years’ experience in resourcing, recruitment, or talent acquisition, with a demonstrated record of successful hires and effective stakeholder management.
