What you'll do:
- Own end-to-end logistics for Profound's global tradeshow calendar - from booth ordering, shipping, and floor plans to badge pickups, staff scheduling, and on-site troubleshooting.
- Manage vendor relationships across exhibit houses, A/V, furniture, signage, print, swag, and promotional partners, negotiating costs and holding vendors accountable to timelines.
- Coordinate sponsorship deliverables across all contracted events, tracking deadlines, submitting assets, and ensuring nothing falls through the cracks.
- Build and maintain pre-event operational playbooks for each show, including run-of-show documents, staff guides, packing lists, and escalation contacts.
- Own travel and accommodation logistics for Profound staff attending tradeshows, including registration, hotel room blocks, and ground transport.
- Partner with the Field Marketing team to ensure booth experiences, activations, and collateral arrive on time and on brand.
- Track and manage event budgets at the line-item level, processing invoices, submitting expenses, and flagging overruns early.
- Maintain the global events calendar and tracker as the single source of truth across all tradeshow activity.
- Support on-site at key events, running the floor so the team can focus on conversations and pipeline.
- Support with field events, such as dinners or small activations.
Who you are:
- A natural operator who finds satisfaction in a perfectly executed plan and a well-packed crate.
- 1–3 years of experience in event coordination, tradeshow logistics, or marketing operations - agency or in-house.
- Obsessively organized with strong project management instincts and the ability to run multiple events in parallel without dropping anything.
- Experienced working with exhibit houses, tradeshow vendors, and convention center processes.
- Comfortable with ambiguity and fast-moving timelines - you figure it out and move on.
- Strong communicator who can manage external vendors and internal stakeholders without hand-holding.
- Resourceful and calm under pressure - when things go sideways on-site, you fix it quietly.
- Spreadsheet-fluent; experience with event management tools or project trackers a plus.
- Willing to travel internationally for key shows.
Location: This is an on-site role based in our NYC or London office. Some international travel required.
For this role, the expected base salary range is $70,000 to $110,000. Profound's total compensation package includes base salary, equity, and a full range of benefits and perks. Final compensation will depend on factors such as your skills, experience, qualifications, and location, and will be determined during the interview process.
