We are recruiting for a full-time Administrator to join the Reward, Benefits and Wellbeing team, within HR. The HR department comprises the following teams – HR Advisory, Early Careers Development, Early Careers Recruitment, Recruitment, Diversity and Inclusion, HR Systems and MI, Global Mobility, and Reward, Benefits and Wellbeing.
KEY RESPONSIBILITIES
- Provide required administrative support to the Reward and Benefits Adviser, Reward and Wellbeing Manager and Head of Reward.
- Responsible for the Benefits inbox, day-to-day benefits enquiries and ensuring any escalations are passed to the Reward and Benefits Adviser.
- Responsible for monitoring and managing recognition benefits e.g. ensuring long service awards and gifts are captured and processed in a timely manner.
- Responsible for managing regular benefit management tasks e.g. portal uploads and data cleansing.
- Responsible for ensuring the administration manual is accurate and up to date.
- Responsible for processing all invoices in relation to Reward, Benefits and Wellbeing.
- Responsible for arranging/managing International Private Medical Insurance for overseas secondees and ensuring that the records are accurate, and the necessary information is provided to support Global Mobility with visa applications.
- Assist with the annual benefit renewals for the retired population.
- Assist the Reward and Benefits Adviser with the fortnightly, in-person benefits induction when required.
- Assist the team with escalations around policy or process exceptions, vendor performance issues and complaints.
- Assist with preparing reports as requested by the team e.g. monthly payroll reporting, benefits usage, import files and reconciliations.
- Assist Reward and Benefits Adviser with setting up ad-hoc events as required e.g. supplier meetings, benefit fairs, and webinars.
- Maintain the integrity of the data held on the systems in accordance with the firm’s data management policy.
- Attend and contribute to team meetings, diary management and room bookings as required.
- Build up a strong rapport across the HR teams and liaise with the relevant team when needed.
CANDIDATE PROFILE
- Intermediate level knowledge of Microsoft Office Packages (in particular Word, Excel and PowerPoint).
- This role will demand extensive use of these packages and will also require excellent administrative skills.
- Ability to communicate effectively (written, spoken and presentational), work well within a team, and maintain a high level of customer service.
- Excellent attention to detail and good use of grammar.
- Proven ability to deal with confidential matters with discretion.
- A willingness to share information and contribute ideas and suggestions as necessary.
- Confident, proactive individual prepared to take a hands-on approach to managing a busy workload using their own initiative.
- Excellent organisational skills, with the ability to multi-task, keep calm under pressure and work to tight deadlines.
- Active listening skills and demonstrates professionalism in all dealings.
- Comfortable accepting instructions and guidance from all levels.
