We are recruiting an Events Manager job share position on a part time basis, 3 days a week (Wednesday to Friday) to work in the Events team, based at the firm’s Head Office in London. This role will develop, plan and deliver a variety of best in class in‑person, hybrid and virtual events across a calendar of 200 events a year and will:
- Understand how to translate the strategic requirements for an event into impeccable execution;
- Share ideas and advise event sponsors and stakeholders on effective and successful event delivery;
- Map out what a first‑class event should look and feel like at Slaughter and May;
- Help plan and deliver the various work streams required to deliver such an event;
- Have the quality of client experience at the forefront of all planning and delivery.
In this role, the successful candidate will work closely with the Global Client Development team, Content Manager, Facilities and Operations teams, Audio Visual and fee earners to manage events and drive forward the marketing strategy.
Key responsibilities
The Events Manager will work with fee earners and a broad range of teams across the firm, requiring versatility and the ability to manage multiple deadlines and relationships at one time. The key responsibilities of this role are set out below and there may be others which are not listed. You may be required on occasion to work outside our normal working hours of 9:30am to 5:30pm.
- Lead on events simultaneously, managing the full event lifecycle including brief taking, proposal creation, presentation of innovative ideas and solutions, create project and campaign plans, invitation and guest list management using e‑marketing tools, digital event build, production and management of event rehearsals, budget management, post event analysis and data interpretation.
- Work with the global client development team to agree event objectives in collaboration with key stakeholders, including measurement of success.
- Gain trust and maintain communication with key stakeholders and suppliers throughout the event lifecycle, identifying any issues and finding solutions.
- Develop, with the Content and Communications Manager, event marketing campaigns to communicate key messaging relating to client issues.
- Advise the global client development team on the best channels to use for events based on BD objectives.
- Source and manage suppliers (obtain quotes, contract and commercial negotiation, contract review).
- Work with the internal creative team, providing comprehensive event briefs, on the event identity, design, and production of all event collateral.
- Lead logistical arrangements and liaison with the internal delivery teams.
- Provide onsite support at events to ensure they run smoothly including meeting and greeting guests.
- Identify, review and implement tools to support and enhance events.
- Maintain event ROI data and report analysis to key stakeholders advising next steps.
- Manage and coach junior members of the team including leading performance reviews.
- Assist with event allocation for the team making recommendations based on review of the events calendar, event requirements and capacity.
- Manage the event support rota, allocating sufficient levels of support per event and team member.
- Build and maintain a strong internal network – collaborate with Commercial teams to develop and refine best practice across events.
- Drive events best practice and share industry knowledge with the wider team. Staying abreast of competitor activity, industry developments and maintaining an external network.
- Produce engagement reports for events and campaigns and feeding into quarterly/annual analysis.
- Advise and ensure correct H&S and contingency procedures are adhered to during event execution.
- Coordinate necessary licences/policies and approvals.
Candidate profile
Candidates for this position must have:
- Worked, or be working, in a similar role within a professional services environment.
- A good working knowledge of virtual events and platforms, preferably EventsAir and Webex.
- Strong focus on adding value, remaining solution focused when dealing with challenges.
- Ability to deal with multiple demands, including prioritising conflicting demands whilst remaining calm under pressure.
- Ability to present ideas, feedback and suggestions, clearly and succinctly in a variety of communication settings and styles.
- Meticulous attention to detail as well as the ability to prioritise, multi‑task and work collaboratively to deliver high quality work.
- Ability to communicate effectively at all levels and demonstrate assertiveness as appropriate.
- Proactive approach to defining requirements and delivering solutions.
- Ability to communicate effectively with senior stakeholders, confidence to develop strong working relationships with fee earners and members of the Commercial team.
- Ability to manage and analyse data and identify trends within it.
