The predicted salary is between 15600 - 21600 £ per year.
We are currently looking for a Workplace Services Assistant to join our London team on a Part Time basis to work Monday, Tuesday, Wednesday. (21 hours per week, 9am – 5pm)
Within this role you will provide effective Workplace, IT & Facilities Services to our London office and where required providing administrative support to our other offices.
The role has an internal and external client/customer focus supporting the general day to day activities of the London office in order to provide a seamless experience to those visiting. This may include but is not limited to:
- Front of house support + room & desk booking co-ordination and visitor management.
- Co-ordination of deliveries and meeting with suppliers eg cleaning company, maintenance company, security provider, landlord or document deliveries;
- Act as a point of contact for on-site IT issues or support eg video conferencing facilities, photocopier breakdowns, SML process support or IT kit issues, escalating to the IT team as necessary.
- Health and safety; fire marshal/first aid/DSE assessments/evacuations – you will receive training on these.
- Support for National budget administration and workplace planning.
- Ensure invoicing and purchase orders are processed effectively.
- Hard Services – Ensure all H&S audits are completed as required.
- Ensure maintenance checks and walk throughs of the building are completed daily and actions completed.
- Manage staff amenities requirements and identify improvements to Workplace Experience.
About you
- Institute of Workplace & Facilities Management Level 2
- IOSH Working Safely, DSE Assessor, Fire Marshal, First Aider
- Experience of operating software systems.
- Good base level of general IT knowledge
- Experience of diagnosing IT hardware faults.
- Experience in a prior service role/understanding of paths to customer satisfaction (preferred).
- Experience of IT asset management (preferred).
- Experience of working across several disciplines/multi-skilled.
- Experience of asset management and legislative maintenance.
- Excel and Visio skills.
- Ability to demonstrate strong verbal and written communication skills.
- High level of personal resilience.
- Positive can do attitude with a customer service focus.
- Proactive approach to performance improvement.
- High level of motivation and initiative; self starter.
