The Role
This is a fantastic opportunity for someone at the start of their recruitment career to join a growing Talent Acquisition team and make a real impact from day one. As our Talent Coordinator, you will be the engine behind our hiring delivery, keeping pipelines moving, engaging candidates, and ensuring a smooth, high‑quality experience for everyone who applies. You’ll report to and work closely with the Talent Acquisition Lead, taking ownership of sourcing, screening, and coordination across a wide range of roles. Over time, you’ll help build our internal capability to source talent directly, reducing our dependency on agencies and growing your own skills and autonomy. The Operations team works in person at Belfast HQ at least one day per week.
Key Responsibilities
- Candidate Sourcing & Pipeline Building: Proactively source candidates through LinkedIn, job boards, CV databases, and other channels for a range of roles. Build and maintain talent pipelines for current and anticipated vacancies, keeping candidate records up to date in our ATS (Teamtailor). Develop a working knowledge of our key hiring profiles so you can spot strong candidates quickly.
- Application Management & Screening: Review and process incoming applications in the ATS on a daily basis, ensuring candidates receive a timely response. Conduct initial screening calls to assess suitability, motivation, and availability before progressing to hiring managers. Provide clear and constructive candidate briefings prior to interviews.
- Scheduling & Process Support: Coordinate interview scheduling across candidates, hiring managers, and panel members, managing diaries efficiently. Own the logistics of the interview process: room bookings, video links, assessments, and any other pre‑hire requirements. Send timely communications to candidates at each stage, maintaining a positive candidate experience throughout.
- ATS Administration: Maintain accurate candidate records and keep all job postings current and well‑presented in the ATS. Ensure candidate stages, tags, and notes are consistently updated to support reporting and pipeline visibility. Support the Talent Acquisition Lead with automation setup, template maintenance, and onboarding new users to the platform.
- Referral & Offer Support: Track and manage employee referral submissions, communicating with referring employees and referred candidates appropriately. Assist with the preparation of offer letters and starter paperwork under the guidance of the Talent Acquisition Lead. Support right‑to‑work checks and early onboarding coordination in line with compliance requirements.
- Employer Brand & Social Media: Support the creation of content for LinkedIn and other channels that showcases the company's culture, roles, and people. Assist with careers page updates and help maintain a strong, consistent employer brand across all candidate touchpoints.
Required Experience, Qualities & Skills
- 0–2 years of experience in a recruitment, resourcing, HR, or people‑facing role (agency or in‑house).
- A genuine interest in talent acquisition and building a career in People/TA.
- Strong interpersonal and communication skills — confident speaking with candidates and colleagues at all levels.
- Highly organised with the ability to calmly juggle multiple roles and priorities simultaneously.
- A proactive, self‑starting attitude: you don't wait to be told what to do next.
- Comfortable using technology and keen to become an expert in our ATS and sourcing tools.
- Attention to detail in written communications, candidate records, and admin.
Nice to Have
- Experience using Teamtailor or a similar ATS.
- Familiarity with LinkedIn Recruiter or Boolean search techniques.
- Any exposure to employer brand, social media content, or events coordination.
- CIPD Level 3 (studying or completed) or equivalent.
