Your mission: Be the organisational engine for senior leaders — managing time, details and logistics so they can stay focused on what matters most.
Where you’ll be based: Glasgow, Edinburgh or London. Hybrid working with flexibility that supports both collaboration and focused delivery time.

What you’ll be doing
- Partnering with senior leaders: Support leaders with reliable scheduling, communication and follow-through. Understand their working patterns, plan ahead for recurring needs and ensure day-to-day operations run smoothly.
- Owning calendars and priorities: Maintain accurate diaries across time zones, resolve conflicts quickly and protect focus time. Communicate changes promptly and keep stakeholders informed.
- Making meetings matter: Coordinate agendas, attendees and materials. Capture notes and track actions so meetings lead to clear outcomes and follow-ups.
- Coordinating travel: Book end-to-end itineraries (flights, hotels, ground transport) with clear details and contingencies. Handle changes efficiently and keep everyone informed.
- Team and event coordination: Assist with logistics for team meetings, offsites or small projects. Align people, venues and resources for smooth delivery.
- Expenses and essentials: Process expenses, POs and light budgeting accurately and on time. Maintain positive relationships with internal partners and vendors to keep operations running.
- Improving processes: Create or refine checklists, templates or simple tools that make repeat tasks easier and save time.
About you
- Experienced EA: You’ve supported senior leaders (Director or VP level) — ideally more than one at a time — in a fast-moving environment.
- Organised and dependable: Strong at managing competing priorities, spotting conflicts early and following through to completion.
- Self-starter with excellent organisation, time-management and interpersonal skills: You take ownership of your work, plan ahead effectively and build positive working relationships across teams.
- Adaptable and able to pivot to the needs of the business: You stay flexible and focused through change, keeping momentum and helping the team adjust with minimal friction.
- Clear communicator: You write and speak clearly, tailoring your approach for different audiences and summarising key points with precision.
- Tech-confident: Comfortable with Microsoft 365, Slack and other modern tools. Quick to learn whatever comes next.
- Calm under pressure: You stay composed and solutions-focused when plans change, keeping stakeholders informed.
- Discreet and trustworthy: You handle sensitive information with good judgement and professionalism.
