  • Maintain accurate client records and pipeline updates within CRM systems.
  • Ensure all documentation is uploaded, tracked and processed within agreed service standards.
  • Lender & Third-Party Liaison
    • Act as a key point of contact with lenders, solicitors, surveyors and providers.
    • Chase outstanding documents, valuations, mortgage offers and completion updates.
    • Monitor case progress and proactively identify delays or issues.
  • Compliance & FCA Standards
    • Ensure all case files are maintained in line with FCA requirements and company compliance procedures.
    • Assist with file preparation for compliance review and audit purposes.
    • Support the team in maintaining Consumer Duty standards and positive client outcomes.
    • Ensure confidentiality and GDPR standards are adhered to at all times.
  • Operational Support
    • Assist in developing efficient workflows and mortgage processes as the department grows.
    • Provide support with pre-offer and re-mortgage processes using the mortgage sourcing systems (Iress and Indigo).
    • Prepare suitability documentation and client communications where required.
    • Support advisers with diary management, appointments and follow-up activity.
    • Work collaboratively with Private Wealth Adviser teams as and when needed to deliver integrated financial planning support.

    Skills & Experience Required

    • Previous experience in mortgage administration within a UK regulated environment.
    • Strong understanding of FCA mortgage processes and documentation requirements.
    • Experience supporting residential and/or buy-to-let mortgage cases.
    • Excellent organisational skills with strong attention to detail.
    • Ability to manage multiple cases and deadlines simultaneously.
    • Strong communication and relationship management skills.
    • Confident using CRM and Mortgage Sourcing systems.
    • Professional, client-focused and proactive approach.
