This role sits within the Pre-Construction team and plays a vital part in the successful mobilisation and delivery of projects that help improve homes, energy efficiency and sustainability across the UK.

You will play a key role in ensuring projects progress smoothly from the earliest stages, working closely with residents, clients, surveyors and internal teams.

The Role
As Stage 1 Administrative Support, you will be responsible for coordinating survey appointments, maintaining project information, supporting operational teams and ensuring excellent communication with residents and clients throughout the pre-construction process.
Key Responsibilities:
- Making outbound telephone calls to residents and clients to arrange and confirm survey appointments
- Liaising directly with Client Liaison Officer teams to provide booking updates and maintain effective communication
- Answering incoming calls and directing enquiries to the appropriate departments
- Scheduling surveyor appointments using the BigChange job management system
- Maintaining and updating project trackers daily to ensure records remain accurate and up to date
- Supporting the wider Pre-Construction team with administrative duties as required
- Managing failed contact attempts, including no answers, incorrect contact details and access refusals, while arranging alternative appointments where necessary
- Recording cancellations and rescheduling surveys at short notice to minimise disruption to project programmes
- Monitoring and chasing outstanding survey appointments to help achieve programme targets and key performance indicators
- Coordinating surveyor availability and capacity before appointments are scheduled
- Sending confirmation communications to residents ahead of scheduled survey visits
- Supporting the onboarding process for new site operatives and subcontractors, including chasing competency documents, insurance certificates and identification
- Assisting with client reporting and internal management reporting requirements
- Ensuring all resident and client information is handled confidentially and in full compliance with GDPR requirements
Skills and Experience Required
- Excellent written and verbal communication skills with a confident and professional telephone manner
- Strong IT skills with experience using Microsoft Office and similar software packages
- Excellent organisational skills with the ability to manage and prioritise a varied workload
- A positive and collaborative approach with the ability to work effectively as part of a team
- Previous experience in an administrative or customer-facing role is desirable
- Experience within the Retrofit, ECO or Renewables sectors would be advantageous but is not essential, as full training will be provided
