Key Responsibilities
- Administrative Support
- Provide day-to-day administrative support to the office team, ensuring smooth workflow across all departments to support business needs.
- Manage emails, phone calls, and general correspondence professionally.
- Maintain accurate records, files, and documentation, ensuring proper filing systems.
- Assist with spreadsheets.
- Clinic & Operations Support
- Help coordinate clinic dates, appointments, and venues under the guidance of the Office Team Leaders.
- Support the management of doctor worklists, clinic lists, and enquiries.
- Team Collaboration & Communication
- Ensure open communication with the Office Team Leaders and wider operations team.
- Support smooth office operations by flagging issues or areas for improvement.
- Process & Efficiency
- Assist with implementing administrative processes and maintaining consistency with supervision.
- Identify small process improvements to support team efficiency.
- Take on ad hoc projects and tasks as assigned by the Office Team Lead, being flexible and adaptable to meet the needs of the business.
Required Skills & Competencies
- Strong organisational and time-management skills with attention to detail.
- Good written and verbal communication skills.
- Ability to prioritise tasks and work independently or as part of a team.
- Proficiency in MS Office Suite, Google Workspace, or similar tools.
- Positive, proactive attitude with a willingness to learn.
Qualifications & Experience
- Previous administrative experience preferred but not essential.
- Experience in office support, operations, or customer service is a plus.
