The Role
\n
We are looking for an experienced, highly organised and proactive Practice Manager to play a central role in the day-to-day running and continued development of Skin Associates.
\n
\n
This is a hands-on role, combining responsibility for the smooth operation of the Practice with medical secretarial and patient administration duties. The Practice Manager will oversee consultant clinic lists, patient pathways, administrative workflows and billing, ensuring that clinics run efficiently and patients receive an excellent standard of service.

The Practice Manager will also play a leading role in identifying opportunities to improve efficiency, streamline processes and support the continued development and growth of the Practice.

Key Responsibilities
\n

- Oversee the day-to-day operation of the Practice, ensuring efficient workflow, effective patient management and the smooth running of clinics.
- Oversee and coordinate consultant clinic lists, schedules and appointment capacity, anticipating and resolving issues to ensure clinics are appropriately organised and run efficiently.
- Manage patient appointments and pathways from initial enquiry and booking through treatment and follow-up, ensuring accurate patient records and excellent communication throughout.
- Provide hands-on medical secretarial and administrative support where required, including correspondence, scheduling and responding to patient enquiries.
- Oversee and process private patient and medical insurer billing and payments, including authorisations, invoicing and billing queries.
- Ensure the accurate and effective use of Carebit and other Practice systems, maintaining high standards of data quality and administration.
- Work closely with consultants, clinical staff and the wider administrative team to coordinate workloads and ensure appropriate administrative support and continuity across the Practice.
- Act as a key point of contact for patients, consultants, staff and external stakeholders, providing a professional, responsive and empathetic service.
- Implement, maintain and improve office procedures and administrative processes, ensuring appropriate regulatory, data protection and Practice standards are maintained.
- Identify opportunities to improve efficiency, streamline processes and enhance the patient experience, and play a leading role alongside colleagues in implementing improvements.
- Support the directors with the continued development and growth of the Practice, including the introduction of new systems, services and ways of working.
- Maintain the highest standards of confidentiality, data protection and information governance at all times.

Experience & Skills
\n
\n
We are looking for someone who:
\n
\n
- \n
- Has significant experience in a private healthcare environment, ideally within Dermatology.
- Has experience as a Practice Manager, Clinic Manager, or Senior Medical Secretary.
- Has experience organising and managing busy consultant clinics, clinic lists and patient pathways.
- Experience using Carebit would be a significant advantage.
- Has experience with private patient and medical insurer billing, including dealing with authorisations and billing queries.
- Is highly organised, detail-focused and able to manage multiple consultants, clinics and competing priorities.
- Is confident taking ownership of day-to-day operational issues and resolving problems proactively.
- Is comfortable working in a hands-on role and undertaking medical secretarial and administrative work where required.
- Has excellent written and verbal communication skills and a professional, empathetic approach to patients.
- Is proactive and solutions-focused, with an interest in improving systems, processes and ways of working.
- Is comfortable working with financial information and has good commercial awareness.
- Works collaboratively, takes ownership and enjoys being part of a small and growing team.
- Handles confidential and sensitive information with discretion and professionalism.
