As we continue to grow across EMEA markets, we are committed to delivering seamless and exceptional customer experience. We are looking for a proactive and detail-oriented Wholesale Operations & Customer Services Coordinator to join our growing team in London.
Key Responsibilities- Process and manage wholesale and franchise orders accurately using ERP/order, across EMEA markets.
- Monitor order progress from confirmation through to delivery.
- Coordinate with the 3PL in Europe and logistics teams to ensure on-time delivery.
- Route and coordinate Ex-Works shipments, liaising with customer-nominated freight forwarders and managing customers’ booking portals.
- Prepare and manage shipping documentation and export paperwork where required.
- Prepare proforma invoices for pre-payment customers.
- Liaise with the AR team for payment discrepancies, compliance charges and credit hold.
- Handle order amendments, returns, and credit requests.
- Support the sales team with customers’ requests.
- Build relationships with wholesale and franchise partners, and respond to enquiries regarding pricing, product availability, and deliveries.
- Assist with sales orders reports and general order book management.
- Maintain accurate customer records, pricing, and order data.
- Support the implementation of process improvements and workflow optimizations.
- Maintain up-to-date documentation, SOPs, and process guidelines.
- Min. 2 years of experience in a similar role, working with key accounts such as Selfridges, Harrods, Net-a-porter.
- Proficient in Microsoft Office (particularly Excel and Outlook).
- Solid understanding of wholesale order processes and logistics.
- Strong attention to detail and ability to maintain data accuracy across systems.
- Excellent organizational skills and ability to manage multiple tasks simultaneously.
- Strong communication skills, both written and verbal, for internal teams and customers.
