My client are a leading, owner-led independent design consultancy based in Central London, known for delivering high-profile and technically complex projects across the commercial, residential, and education sectors. They are seeking a meticulous and highly organised Document Controller to join their team and become the gatekeeper of our project documentation.
This is a critical, administrative role ensuring the integrity, accessibility, and compliance of all project information for our M&E, Sustainability, and Design teams.
Key Responsibilities
- Document Management System (DMS) Expertise: Manage and maintain the project Document Management System (e.g., Aconex, Viewpoint, SharePoint), ensuring accurate logging, storage, and retrieval of all revisions, drawings, specifications, and correspondence.
- Quality & Compliance: Ensure all incoming and outgoing documentation (electronic and hard copy) adheres strictly to the project-specific protocols, numbering conventions, and Quality Management System (QMS) procedures.
- Drawing Control: Process, issue, and distribute design drawings and technical submittals to internal design teams, clients, contractors, and external consultants, maintaining comprehensive transmittal records.
- Information Flow: Control the flow of information between all project stakeholders, managing deadlines for document submissions and approvals.
- Archiving: Oversee the final project close-out and archiving process, ensuring all documentation is complete and correctly filed for future reference.
- Team Support: Provide training and support to project teams on documentation control procedures and the efficient use of the DMS.
Candidate Profile
- Experience: Proven experience (2+ years) working as a Document Controller, ideally within an MEP consultancy, Architectural practice, or Main Contractor environment.
- Technical Skills: Highly proficient in using industry-standard Document Management Systems (DMS) and Microsoft Office Suite.
- Attention to Detail: Exceptional organisational skills with an uncompromising focus on accuracy and version control.
- Communication: Excellent written and verbal communication skills, able to clearly communicate documentation requirements and resolve compliance issues professionally.
- Qualifications: A relevant professional qualification or equivalent experience.
