What You’ll Do
- As a PMO Coordinator you will provide essential support to our wider Programme delivery function. This is a role for a detail-oriented professional who excels in a fast-paced environment and understands that effective PMO support is built on strong internal relationships and clear communication.
- You will be responsible for maintaining the integrity of programme data, ensuring governance standards are met, and facilitating the smooth operation of the delivery lifecycle.
- Programme Governance: coordinate the production and consolidation of weekly and monthly status reports, ensuring high standards of data accuracy and professional presentation.
- Resource Coordination: support recruitment and onboarding processes within the programme. Drive and support resource-management processes including time sheet submissions and utilisation forecasting.
- Stakeholder Liaison: act as a central coordinator for the programme team. Work flexibly across different workstreams to support Project Managers and technical leads as priorities shift.
- RAID Management: maintain and update Risk, Issue, Assumption, and Dependency (RAID) logs, ensuring that items are regularly reviewed and escalated where necessary.
- Quality Control: conduct internal audits of project documentation and stage-gate evidence to ensure alignment with SiXworks and IBM delivery frameworks.
- Meeting Facilitation: organise and document key governance meetings, ensuring actions are captured, assigned, and tracked to completion.
- Event Coordination: support the coordination of customer and internal events.
What We’re Looking For
We value people who take ownership, think critically, and enjoy working as part of a collaborative team tackling complex challenges. You don’t need to tick every box, but we’re particularly interested in people with skills/experience in:
- Proven PMO Experience: a minimum of 2 years of experience specifically within a PMO Coordinator or Analyst capacity.
- Attention to Detail: a disciplined approach to data entry, documentation, and reporting. Track record of identifying inconsistencies before they reach stakeholders.
- Collaborative Approach: ability to work effectively within a multidisciplinary team. Be approachable and proactive in assisting colleagues to meet collective deadlines.
- Technical Proficiency: strong command of the Microsoft Office Suite—specifically Excel (data manipulation and reporting) and PowerPoint. Experience with tools like Jira, Confluence, or MS Project is highly advantageous.
- Adaptability: experience working in environments where requirements can change quickly, requiring a calm and flexible response to shifting priorities.
- People-Centric: understand that PMO is a service function and focus on supporting the team to ensure successful delivery.
- Direct & Clear: communicate complex information simply and effectively, both in writing and verbally.
- Highly Organised: manage multiple administrative threads simultaneously without losing focus on core governance requirements.
