Do you want to take on responsibility and fulfil customer wishes? As the Depot Manager at SIXT Van & Truck in Yeovil, you’ll have the overall responsibility for the day-to-day running of the Hire Desk and Transport services. You’ll manage, motivate and coach a team of Hire & Sales Co-ordinators, Vehicle Valeters, Van Liners, Washer/Checkers and Drivers ensuring their health and safety is provided for. You’ll take ownership of all required reports ensuring their accurate and timely completion. To have a strong sales focus and be able to deal effectively with customers at all levels in the pursuit of increasing sales revenue and resolving any queries lodged. Please note that this is a Full time role, with an average working week of 45 hours, and a requirement to work 1 in every 2 Saturday mornings.
KEY RESPONSIBILITIES
- Staff: Allocating and monitoring the workload of the hire desk team and drivers on a daily basis. Monitor efficiency of hire desk staff and drivers to ensure customer service levels are maintained. Review and establish the training needs of staff and where appropriate provide one to one coaching or alternatively in consultation with the Multi-Site Manager consider head office or external training. Always ensure adequate cover by authorising holiday requests and monitoring weekend attendance. Involvement with the recruitment and induction of new team members. Take ownership of all matters relating to staff absence/movements/discipline and training needs and inform management appropriately. Ensure all staff wear appropriate corporate clothing.
- Systems & Procedures: Achieve add-on sales budget by ensuring that HSC’s are proactively selling consumables. Stock control of consumables and re-sale items and re-ordering when necessary. Monitor processing of on hires, off hires and exchanges on SVAT’s computer system and using PDA’s where possible. Identification and resolution of queries through monitoring and analysis of paperwork procedures. Ensure manual paperwork kept to a minimum. Adapt to changes in systems and criteria as and when required and be proactive in looking after DVR and SVAT interests and customer business.
- Reporting: Review all relevant customer reports and take action where appropriate. Report to the Workshop Manager on vehicles that are unavailable for hire. Report errors on rates to HQ staff and ensure rectification. Review Insurance report. Daily Yard check. Review monthly credit note review and take action where appropriate. Review & action monthly live hire reports.
- Health & Safety: Ensure that the company’s health & safety policy and procedures are adhered to in relation to the running of the hire desk and transport services. Ensure staff are supplied with and wear appropriate PPE. Ensure the cleanliness and tidiness of the hire office and vehicles to minimise the risk of accidents. Ensure all accidents are recorded and reported in accordance with company procedures. Ensure staff are working in accordance with the company’s H&S policy, procedures and safe systems of work. Bring any matters of concern in relation to H&S to the immediate attention of the relevant department.
- General: Ensure all company procedures in relation to the hire desk and transport are always adhered to. Attend weekly meetings with Multi-site Manager. Adopt a hands-on role during holiday and absence periods. Perform any other duties as may be required by the Company, which are deemed as common practice.

- Key Performance Indicators: Depot audits to meet SVAT Standard. Accuracy of paperwork. Minimal customer complaints. Meeting deadlines. Compliance with company procedures. Timely submission of required reports.
