The Fleet Maintenance Agent (Planner) is responsible for the proactive scheduling and coordination of all planned maintenance activity across the commercial fleet in the UK. You ensure vehicles are maintained according to manufacturer schedules and legal requirements, minimising downtime and keeping the fleet fully operational and compliant.
Responsibilities
- Monitor fleet management systems to identify upcoming service intervals and MOT due dates.
- Proactively schedule and book maintenance appointments with approved garages and service centres.
- Send advance notifications and manage vehicle collections, deliveries, and courtesy vehicle arrangements.
- Raise purchase orders and verify job completion and invoices against work performed.
- Actively monitor compliance alerts and escalate risks to the Maintenance Manager.
- Build effective supplier relationships and support breakdown response during peak demand.
Qualifications and Skills
- Experience: You have coordination, scheduling, or administration experience.
- Organisation: You manage multiple tasks with strong attention to detail and data accuracy.
- Communication: You communicate confidently and clearly both verbally and in writing.
