The Document Controller (DC) is responsible for managing the project Document Management System and Digital Field Tool, implementing the Information Management (IM) strategy, and providing training and support to project teams and end users. The DC ensures that all documentation is received, classified, verified, and distributed in accordance with the company’s Digital Project Delivery (DPD) procedures and ISO 19650 / BS 1192 / PAS 1192 standards.
Responsibilities
- Validate, check, and curate all incoming and outgoing project documentation, ensuring proper receipt, classification, verification, registration, distribution, and retrieval.
- Establish and maintain central site files, uncontrolled drawings, registers, and collate Operation & Maintenance, Health & Safety, Quality, Environmental, and BCAR files.
- Configure and implement change control processes within the CDE.
- Prepare and configure distribution matrices, status reports, and workflows for sample submissions, TQs, RFIs, and other reportable data in compliance with project requirements.
- Attend project meetings to engage with the project team and stakeholders on documentation and IM matters.
Continuous Improvement
- Identify opportunities for improvement, reduction of waste, and mitigation of risks related to document management and information workflows.
- Cover duties of other Document Controllers when required, e.g., during holidays or sickness.
- Support the ISM in maintaining compliance with company‑wide DPD procedures and standards.
Training & Support
- Host training sessions for new users of VFP and FV, either individually or in groups.
- Act as the main point of contact for support and coaching of project users, including client teams, design teams, subcontractors, and supply chain partners.
- Assist in developing project file naming protocols and workflows with guidance from the Information Systems Manager (ISM).
- Continuously provide guidance to project teams to ensure strict adherence to DPD protocols.
Experience
Essential
- Experience working on projects with large volumes of data and information from multiple sources.
- Ability to communicate effectively with, and educate, all stakeholders on DPD protocols.
- Experience dealing with multidisciplinary design teams, client teams, subcontractors, and supply chain partners.
- Ability and willingness to train and mentor others.
- Knowledge of file naming conventions and standards.
- Organisational, prioritisation, multitasking, and time management skills.
- Analytical thinker, diligent, and self‑motivated.
- Excellent document preparation, formatting, and troubleshooting skills.
Desirable
- Interest in project delivery processes, project administration, and the wider construction industry.
Qualifications

- Advanced user of Microsoft Office suite.
