MAIN OBJECTIVES
•To provide an administrative support service to Head of HR and HR Advisor.
•To assist line managers with personnel administration and training course planning as required.

RESPONSIBILITIES/ ACCOUNTABILITIES/ TASKS
•To open and keep up to date electronic personnel file for all UK and International staff as required, containing all contractual and performance management information. This shall include scanning and filing all contract and personnel records.
•To maintain HR databases and produce query reports as required.
•To coordinate interview and assessment arrangements, liaising with recruitment managers as required.
•To liaise with advertising and recruitment agencies as required, ensuring that applications are properly filed and communicated to recruitment managers.
•To co-ordinate interview and assessment arrangements, liaising with recruitment managers as required.
•To co-ordinate receipt of new starter documentation once an offer has been made, ensuring that all mandatory data is collected and checked prior to, or on commencement of, employment, including evidence of right to work in UK and DBS clearance.
•To manage holiday allocation, liaising with staff and line managers regarding holiday entitlement as required. To maintain the Holiday Planners.
•To collate, file and record sickness and other non-holiday absences, preparing KPI reports as required by Head of HR. To identify to Line Managers any high absence levels.
•To follow up with line managers the completion of return-to-work interviews.
•To report on completed appraisal forms.
•To collate training requests/ needs identified from appraisals.
•To manage, arrange and book training of mandatory training requirements relating to construction, site access, health & safety and plant operations, including CSCS cards. To regularly review CSCS and Plant Training Records to ensure that expiry dates are identified in a timely manner and that renewal training or assessment is completed before expiry. To maintain the Training Planner and liaise with Contracts Directors as appropriate.
•To ensure that all compliance checks are carried out on new starters including but not limited to DBS safeguarding checks, reference follow ups, right to work in UK etc.
•To ensure effective induction and onboarding of new staff, ensuring that line managers are fully equipped with how to manage staff and bring them onboard.
•To ensure clear, consistent training records are maintained
•To coordinate the probation review process for all new starters, ensuring that line managers complete and record probation reviews in a timely and effective manner, ensuring the Head of HR is informed of any concerns.
