We are looking to appoint an enthusiastic, efficient and motivated individual to join our inpatient admin coordination team. Our coordination team are integral to the smooth running of the unit to support excellent patient care. You will work as part of the multi-disciplinary team to support the flow of patients and information through the unit. This may be relating to admissions from our acute hospitals, liaison with health professionals and relatives visiting the ward or maintaining stock and medical supplies. We work as a team so train all staff in all aspects of the role but can support staff to specialise and take on responsibility in specific areas if they have a special interest.
The role includes telephone contact with patients, relatives, and a broad range of staff across the organisation. You will need to be computer literate, be familiar with Microsoft Office and have good communication, with a positive, flexible approach to your workload. Main duties of the job
- Supporting smooth patient flow in and out of the rehab units.
- Using initiative to manage and prioritise own workload, work independently in planning and organising tasks, with support from the Operations Partner.
- Provide daily routine administrative tasks including: email, telephone calls, photocopying, filing, scanning, typing, disposal of sensitive material (this list is not exhaustive) whilst maintaining confidentiality.
- Use a range of media to communicate with others including face to face, telephone, e-mail, letter and conference calls.
- A point of contact to healthcare professionals and others (including patients, carers, and external partners) by telephone taking messages and passing them on promptly and efficiently.

Person specificationQualifications
- NVQ level 3 Business and Administration or equivalent knowledge and experience
- Knowledge of Microsoft computer packages e.g. Excel, Word.
- Experience of working in a rehabilitation inpatient setting
- Prior use of patient database, EMIS system knowledge is highly desirable
Skills
- Experience of an administrative role with high levels of autonomy and responsibility.
- Communicating with a wide range of personnel and responding to written, emailed or telephone enquiries and questions.
- Computer literacy to produce and update documents, databases and records.
- Understanding of discharge pathways from acute trusts
