We are looking for a highly organised and proactive Executive Assistant to provide comprehensive business and office management support, contributing to the achievement of directorate and organisational objectives. The successful candidate will manage diaries, meetings, communications and documentation for senior leaders, ensuring priorities are balanced and operations run efficiently. You will play a key role in improving processes, supporting financial and performance reporting, and handling sensitive information with discretion in a fast‑paced, complex environment. This role requires excellent judgement, strong communication skills and the ability to manage competing demands while supporting effective stakeholder engagement across the organisation. This is a 12‑month secondment position.
Main duties of the job:
- Manage complex diaries, scheduling meetings and coordinating appointments to ensure senior leaders’ time is used effectively.
- Prepare and organise meeting materials, including agendas, reports and presentations, and accurately record minutes and actions.
- Act as a key point of contact, handling correspondence, calls and queries with professionalism and discretion.
- Coordinate meetings and events, including logistics such as venues, travel arrangements and supporting documentation.
- Maintain and improve filing systems, databases and office processes to support efficient business operations.
- Support reporting activities by gathering, analysing and presenting data for senior management and board requirements.
- Monitor tasks, risks and deadlines, proactively identifying issues and ensuring timely follow‑up and escalation where needed.

Person specification:
Skills, Knowledge, Experience:
- Significant business support/administrative/secretarial experience working in a large/busy team and with Senior level stakeholders, preferably in NHS or similar public sector organisation.
- Experience in minute taking.
- Previous experience of professional documentation including reports, committee/panel papers and presentations.
- Knowledge of Microsoft software applications (Outlook, Word, Excel and PowerPoint etc.).
- Familiarity with medical/NHS terminology.
- Experience project managing events or visits for senior officials.
Qualifications:
- Educated to AS/A Level or NVQ Level 3/Diploma Level 3 or equivalent Business Studies/Secretarial related qualification.
- Prince2 qualification or equivalent.
