Are you an experienced front of house Admin Assistant looking for a new opportunity in London office near Liverpool street station? This is a full-time opportunity working 5 days per week between 8am and 5pm.

The Administration Assistant role

The Administration Assistant plays a vital role in supporting the front of house operations at one of our offices, ensuring the smooth running of daily activities through dependable and professional administrative support tailored to the office's requirements. Exceptional communication skills are essential, enabling effective interaction with internal departments, clients, staff and contractors.

Responsibilities

  • Welcome and assist visitors, directing them as appropriate.
  • Act as a point of contact for internal departments, clients, staff and visitors.
  • Organise and distribute incoming and outgoing mail.
  • Provide general administrative and clerical support as required.
  • Manage meeting rooms and appointments.
  • Maintain contact lists and the condition of office facilities; assist with supplies of stationery and equipment.
  • Managing administrative systems and records.
  • Liaise with executive PAs and other Administrative Assistants to handle requests and queries from senior managers.
  • Assist with the organisation and scheduling of site appointments.
  • Support the organisation of functions and client events relevant to the office.
  • Assist with staff travel, including hotel and transport bookings.
  • Assist with security control access and maintain security awareness.
  • Liaise with the people team and business systems to ensure appropriate IT equipment and resolve related queries.

Your Profile

  • Experience in a front of house receptionist or administrative role.
  • Highly organised with excellent time management and the ability to prioritise work.
  • Flexible and proactive approach; proven team player.
  • Strong communication skills, both written and verbal.
  • Administrative and coordination skills with high attention to detail and accuracy.
  • Proficient in Microsoft Office applications, particularly Outlook, Word, Excel, and MS Teams.
  • Trusted to handle responsibilities with honesty and discretion.
