The Role

We have a vacancy for an Administrative Assistant role within the Claimant Personal Injury department. The successful candidate will work within the Personal Injury department supporting the Absolute Medicals team, helping to promote the smooth progression of claimant personal injury cases, by the timely provision of medical reports, the arrangement of medical examinations, the collation of medical records and other administrative tasks.

Key duties:

  • Set up and maintain new files on the case management system.
  • Scan, upload and accurately record incoming post and electronic documents.
  • Process medical reports and ensure all documentation is correctly stored and indexed.
  • Chase appointments, reports, results and invoices to agreed timescales.
  • Book interpreters and manage appointments.
  • Arrange to have documents translated into other languages.
  • Notify Personal Injury Case Handlers promptly of appointment dates and updates.
  • Generate and process invoices linked to expert reports.
  • Enter invoice data onto SAGE and support invoice payment checks.
  • Assist with file closure, ensuring all financial and administrative steps are completed accurately.
  • Ensure records are closed correctly and all data is securely deleted in line with GDPR and firm policies.
  • Answer telephone calls and respond professionally to internal and external queries.
  • Be flexible to carry out any other reasonable task and/or projects as requested.

Requirements

The ideal candidate will be an experienced administrator and exhibit a high degree of flexibility; together with an ability to follow detailed instructions without close supervision. In addition, they will be highly organised, able to manage a tasks diary and prioritise work. Good communication and IT skills are essential. Attention to detail and a good work ethic are also necessary, as well as a willingness to cover a variety of tasks.
