This role involves overseeing and managing our business support team, ensuring effective delivery of their core responsibilities with a high level of focus on running a dynamic, process-driven and results-orientated function.

Key responsibilities include:

  • Undertaking line management duties including 1-2-1’s and appraisals in line with our HR policies; leading, inspiring and developing individuals.
  • Defining and embedding strong supportive processes which continuously contribute to innovation across all functions; working closely with all departments to support with the creation of relevant documentation i.e. policies, procedures and how-to guides.
  • Acting as a super user for internal systems, managing the set-up and deactivation of user accounts and ensuring suitable permissions based on role requirements to drive efficiencies and supporting training delivery.
  • Managing our ticketing system ensuring SLAs are met, distributing internal post/deliveries and hosting visitors.
  • Working in partnership with the procurement team to oversee the tracking of all tools and equipment ensuring suitable and sustainable stock levels and managing the asset tracking and issuing processes.
  • Overseeing the management of all travel and accommodation bookings, reporting on usage and escalations.
  • Managing facilities at the head office, leading the agreements with third-parties, acting as and managing the key holder procedures, and taking accountability of office maintenance and facility compliance checks including PAT testing.
  • Managing all company IT equipment, maintaining suitable levels of stock, tracking allocation and asset tagging, organising repairs and/or replacements and supporting with IT technical issues as the core contact for our IT provider.
  • Accountable for the company fleet, ensuring end-to-end compliance with all regulatory requirements (insurance, MOT, servicing, driver eligibility, incident management and vehicle safety), mitigating financial, legal and reputational risk to the business.
  • Owning the allocation, utilisation, maintenance, cost control, driving efficiency, budget optimisation across fleet.
  • Monitoring, analysing and reporting on driver behaviours, including tracker information, vehicle checks, PCNs, speeding and curfews etc.

Requirements include:

  • Proficient in the use of productivity and collaboration software such as Microsoft Office, Microsoft Teams, SharePoint etc. across multiple platforms.
  • Excellent communication skills, including the ability to adapt communication styles and outstanding listening skills.
  • Strong interpersonal skills with demonstrated ability to use own initiative as well as work collaboratively as part of a team.
  • Strong team management and excellent organisation and prioritisation skills.
  • Good knowledge of workflow management systems, including but not limited to raising purchase orders, receipting goods and overall understanding of financial processes.
  • Confident in producing and presenting reports.
  • Willingness to support the development of direct reports.
  • Good understanding of PPE, COSHH and risk assessing.

You’ll be a successful Business Support Manager if you have:

  • A full UK driving licence (maximum of 3 points).
  • Emergency First Aid at Work certification.
  • Experience of leading a team.
  • Experience in driving and developing systems to enhance business efficiencies and growth.
  • Awareness of governance and security of IT assets and access controls.
  • Experience of small to medium fleet management.
  • Experience of managing or taking part in small and large scale projects.
  • Compliance with all company policies, procedures and business ethics codes.
