I am seeking an exemplary Executive Assistant, to provide business support to the CEO and Executive Directors of a well regarded Insurance firm.
This role will be for an approximate 4-6 week duration, and is to bridge a gap between offboarding a UK role and onboarding a US role.
Key duties will include:
- Managing and prioritising all communication methods including emails, phone and in person – including drafting straightforward correspondence and producing draft replies for more complex issues as required
- Liaising effectively with investors and the Board for the purposes of supporting leadership, management priorities and issues in a proactive and efficient manner
- Proactively managing busy schedules across multiple locations and time zones
- Coordinating diaries, meeting agendas and conference calls using Microsoft Outlook and Teams
- Taking accurate meeting minutes and distributing them effectively
- Assisting in pulling together reports from the various Executive Directors using a range of internal systems
- Creating presentations in line with company brand guidelines using Microsoft PowerPoint
- Arranging domestic and international travel for Executive Directors
- Additional ad-hoc tasks as requested by Executive Directors
In order to be considered, you need:
- Demonstratable work experience in a similar role supporting C-suite Executives in a professional, corporate environment involving various types of stakeholders
- Significant, recent experience within the Insurance industry
- A strong client centric ethic, and a willingness to be flexible to meet client and other stakeholder needs
- Able to effectively problem solve in a dynamic, fast-paced environment
- Outstanding relationship-building skills
- Solid knowledge of Microsoft Office, particularly Excel, Word, PowerPoint and Teams
- Fluent business English (spoken and written) and ability to communicate effectively with people at all levels
- Experience in an international or multi location environment would be highly desirable
