Take ownership of a critical HR technology platform. This is an excellent opportunity for an experienced iTrent HR & Payroll specialist to take ownership of a key business-critical system and play a central role in how HR technology supports a growing and complex organisation. As the HR Data Officer / iTrent System Administrator, you will become the go-to subject matter expert for iTrent, responsible for ensuring the system remains accurate, secure, compliant and continually evolving to meet the needs of the business.

This is far more than a traditional system administration position. You will have genuine ownership of the platform, working closely with HR, Payroll, Finance, IT, operational teams and senior stakeholders to improve processes, introduce greater automation and ensure users get the maximum possible value from the system. It is a role where your technical knowledge will have a tangible impact across the organisation.

What will you be responsible for?

  • Take ownership of the day-to-day administration, development and optimisation of iTrent, including:
    • Managing organisational structures, positions, departments, reporting lines and system inheritance.
    • Configuring and testing payroll elements, calculations, pay codes and system logic.
    • Developing and maintaining electronic forms, workflows, tasks, alerts and notifications.
    • Managing security profiles, permissions, role design and data conditioning.
    • Overseeing interfaces, integrations and data conversions with third-party systems.
    • Carrying out system audits, housekeeping, data checks and ongoing maintenance.
    • Analysing, testing and implementing iTrent upgrades, service packs and new functionality.
    • Identifying opportunities for automation, optimisation and process improvement.
    • Providing technical support and resolving system, data, workflow and configuration issues.
    • Working with the external iTrent support organisation where specialist assistance is required.

Data, reporting and insight

A major part of the position will involve making sure HR data is accurate, accessible and genuinely useful to the wider organisation. You will create and maintain reporting solutions using Business Objects and Power BI, delivering information that supports operational and senior management decision-making. This will include monthly Board reporting, attrition analysis, payroll and financial reporting, system structure costing, statutory reporting and other business-critical HR data requirements. You'll also play an important role in maintaining data integrity, supporting data cleansing and loading, managing report schedules and distribution lists, and analysing information such as exit interview data.

A role with real influence

You won't simply be maintaining an existing system. The organisation is looking for someone who can look at how things work today and ask: "Can we do this better?" You'll have the opportunity to identify inefficiencies, improve processes, introduce automation and help increase self-service across the organisation. You'll also provide training and guidance to managers, employees, HR and Finance teams, creating documentation and process maps and helping users understand how they can get more from the system. You'll be trusted to make day-to-day decisions around iTrent configuration, workflow design, electronic forms and issue prioritisation, as well as owning system security, access permissions and data conditioning within the organisation's governance framework.

What are we looking for?

  • Proven experience administering iTrent HR & Payroll, or a comparable integrated HR and Payroll system, within a sizeable organisation.
  • Strong knowledge of iTrent system structures, inheritance, positions and reporting lines.
  • Experience with payroll elements, calculations, absence schemes, interfaces, workflows, security and electronic forms.
  • Strong Microsoft Excel skills, alongside experience with Power BI, Word and Outlook.
  • Experience creating, maintaining and scheduling Business Objects reports.
  • Strong analytical and problem-solving abilities.
  • Experience supporting and training managers and employees.
  • Excellent communication skills and the confidence to present data and technical information to different levels of management.
  • Strong organisation and time-management skills, with the ability to manage competing priorities.
  • Experience of iTrent implementation or development, UK HR and payroll legislation, coaching and change management would be advantageous.
