We are seeking a hands-on Billing Manager to join our growing Facility Management & Support Services business based in Livingston. This is a key role within our expanding Shared Service Centre, offering the opportunity to take ownership of billing operations while supporting team development and driving process improvement. Reporting to the Finance Accountant, the successful candidate will lead from the front—managing both purchase and sales ledger activities, while mentoring a small team and enhancing the efficiency, accuracy, and scalability of our billing function. This role is well-suited to an individual who thrives in a fast-paced environment and enjoys improving processes within a growing business.
Key Responsibilities
- Take ownership of the day-to-day billing function, ensuring accuracy and timeliness
- Support, mentor, and develop a small billing team
- Manage the preparation and issuance of customer invoices
- Coordinate monthly billing cycles with Operations to meet strict deadlines
- Maintain and enhance control of ledger activities
- Review and analyse billing performance, identifying areas for improvement
- Resolve internal and external billing queries efficiently and professionally
- Collaborate closely with Credit Control to ensure a seamless end-to-end process
- Build strong cross-functional relationships to support effective service delivery
- Contribute to departmental meetings and continuous improvement initiatives
- Support senior management with reporting, process enhancements, and ad hoc requirements
Skills & Experience
- Proven experience in a similar billing or finance role
- Working knowledge of Xero and Microsoft Office
- Solid understanding of WIP and accruals
- Experience managing both consolidated and individual invoicing processes
- Ability to manage tight deadlines, particularly during month-end cycles
- Previous team leadership or supervisory experience (preferred)
- Strong communication and stakeholder management skills
- Highly organised, detail-oriented, and able to manage competing priorities
