The Executive Administrator & HR Officer provides high-quality, confidential administrative and business support to the Executive Team and Chairman. The role has a strong focus on managing Executive Team activity, preparing Board and Executive documentation (including Board Notes), coordinating meetings, recording minutes, and ensuring actions are accurately tracked and delivered.

In addition, the role supports tactical HR engagement activities and selected marketing initiatives. This position requires exceptional organisation, sound judgement, discretion, and the ability to work effectively across multiple functions in a fast-paced environment.

Work Location: This is a hybrid role, candidate will mainly work from home, however it does require visits to our Daventry office twice a month and once a month to London.

Work Schedule: This is a Part Time job, schedule consists of 3 working days per week.

Salary: Annual salary of £43,330 is based as FTE, salary will be prorated based on Part Time schedule which is £26,000.

Key Responsibilities:

  • Provide proactive, confidential, executive-level administrative support to the Executive Team and Chairman.
  • Act as the central coordination point for the Executive Team, overseeing diaries, meeting schedules, priorities, and alignment of activities.
  • Manage complex diaries for the Executive Team and Chairman, prioritising commitments, resolving conflicts, and ensuring effective use of time.
  • Prepare and coordinate Board and Executive meeting packs, including agendas, Board Notes, supporting papers, and briefing materials.
  • Attend Board and Executive meetings as required, producing accurate, concise, and timely minutes.
  • Maintain formal records of decisions, actions, and resolutions, ensuring actions are tracked, followed up, and closed out.
  • Support governance requirements by ensuring documentation is prepared, approved, stored, and distributed in line with agreed standards and deadlines.
  • Coordinate internal and external meetings, including logistics, room bookings, and virtual meeting arrangements.
  • Arrange Executive travel, accommodation, and related logistics.
  • Act as a professional point of contact for internal and external stakeholders, managing correspondence with discretion and professionalism.

HR Engagement & Business Support:

  • Support the delivery of tactical HR engagement activity, including employee communications, engagement initiatives, and wellbeing programmes.
  • Assist with the planning and coordination of HR events, briefings, workshops, and engagement campaigns.
  • Arrange travel, accommodation and related logistics.
  • Support HR operational processes such as onboarding activities, induction coordination, and preparation of employee communications.
  • Collate and prepare engagement-related data, feedback, and materials to support HR initiatives and reporting.
  • Manage and oversee the HR project and priorities plan, liaising with our HR leads to ensure that actions are complete and timelines are met.

Marketing & Communications Support:

  • Provide administrative and coordination support for marketing and internal communication activities.
  • Assist with coordination, approvals, and scheduling content across internal and external channels (e.g. intranet, newsletters, social media, website).
  • Support the organisations marketing campaigns, events, promotions, and corporate communications.
  • Liaise with internal teams and external suppliers to ensure materials are delivered accurately, professionally, and on time.

Skills, Qualifications & Experience:

Essential:

  • Proven experience working with a C-suite, executive administration, PA, or HR officer/support role.
  • Experience supporting Executive-level stakeholders and Boards.
  • Strong IT skills, including Microsoft Outlook, Word, Excel, and PowerPoint.

Desirable:

  • Experience preparing Board packs, Board Notes, and taking formal minutes.
  • Experience supporting HR and/or marketing activities.
  • A relevant qualification in business administration, HR, marketing, or equivalent.

  • Confident, professional communicator with excellent written and verbal skills.
  • Able to manage multiple priorities and work to strict deadlines.
