We are looking for an E-Billing Administrator to join our Finance department in London on a 6-month fixed-term contract. The E-billing Administrator is a vital role in supporting the E-billing team to ensure the efficient management of the E-billing shared mailbox. This position combines administrative tasks with some direct communication with clients and partners to monitor E-bill submissions and assigning within eBillingHub. You will support the team with submitting monthly Accruals and Timekeeper rates. And you will provide pro-active feedback and updates of any issues on a regular basis to the Senior E-billing Coordinator.
What will you do:
- Providing efficient management of the E-billing shared mailbox.
- Submit monthly accruals and deal with responses from client and Ebilling vendors.
- Supporting the Ebilling team with timekeeper submissions and hourly rates to ensure existing Ebilling vendor system rates are correct.
Provide a quality service and ensuring that the team processes and objectives align with business needs:
- Adhere to agreed best practices, policies and processes whilst adapting to local requirements, as necessary.
- Share knowledge with colleagues within the Ebilling team.
- Assisting with ad-hoc requests.
Apply commercial logic and follow the firm's best practice:
- Attending regular meetings with the Ebilling team to discuss issues and solutions.
- Maintain constructive working relationships with Partners and Secretaries and key personnel within Simmons & Simmons to ensure accurate sharing of Ebilling information.
- Updating local finance teams with current client and vendor information.
Response Management:
- Manage the Ebilling shared mailbox.
- Ensure the Assigned Ebiller information in the eBillingHub is maintained and updated.
- Monitor timekeeper and rate changes as per client agreements.
Client Relationship Support:
- Act as a point of contact for partners, secretaries and finance teams.
- Collaborate with Billing and Credit Control teams.
Governance & Compliance:
- Ensure adherence to firm policies and regulatory requirements.
- Maintain accurate documentation for audits and internal reviews.
Process Improvement:
- Support system enhancements and participate in testing new and existing functionalities.
What we are looking for:
- Organisational skills with the ability to prioritise tasks, manage time effectively, and meet deadlines given.
- Strong attention to detail and accuracy.
- Good verbal and written communication skills.
- Ability to work collaboratively within a team and support colleagues when needed.
- Good knowledge of Excel and other Microsoft office programs.
- Previous experience in a similar administrative role is an advantage but not essential.
