The role is a part-time Events Manager within the Marketing & Business Development Department. This role is pivotal to the strategic planning, management and delivery of firmwide events, creating a positive impact on client and employee experiences and elevating the firm’s brand profile. You will lead and guide on event format, content, keynote speaker selection, liaison, client acquisition and the smooth planning and delivery of each event experience. The successful candidate will work closely with the Marcomms team, fee earners and other members of the wider M&BD team. This role requires working 3 days per week.

The Marcomms team plays a crucial role in enhancing the firm’s reputation through impactful experiences and media coverage. We prioritise continuous improvement and operational excellence and operate as a global team that values contributions from members worldwide.

What will you do

  • Event Planning & Execution: Lead the planning, coordination, and execution of a diverse range of events, including conferences, seminars, client receptions, webinars, and internal functions, ensuring alignment to business objectives and brand values. Stay informed of emerging trends and innovative experiences to effectively guide stakeholders in delivering exceptional moments. Explore, assess and incorporate technology solutions to improve the client experience. Ensure all events are delivered to a high standard, on time, and within budget.
  • Stakeholder & Supplier Management: Act as the primary liaison and trusted advisor to internal stakeholders, including partners, fee earners, and business services teams, as well as external keynote speakers and agencies. Build and maintain strong relationships with external suppliers, venues, and speakers, negotiating contracts and ensuring service excellence.
  • Marketing & Communications: Oversee the creation and management of targeted marketing lists, invitations, reminders, and event communications, ensuring consistency with brand guidelines. Collaborate with the wider marketing & business development team to maximise event attendance and engagement by running multi-media campaigns.
  • Budget Management: Manage event budgets, track expenditure, and ensure cost-effective delivery without compromising quality. Prepare post-event financial reports and reconcile invoices.
  • Process Improvement: Drive the adoption of best practice guidance and introduce efficiencies and consistency in event planning processes. Maintain and update event planning documentation, templates, and checklists.
  • Event Support: Provide hands-on support for pre-event, on-the-day, and post-event activities, including set-up, registration, and troubleshooting. Be available for occasional early morning, evenings, or international travel as required.
  • Post-Event Analysis: Conduct post-event analysis, gather feedback, and prepare debrief presentations for stakeholders. Implement learnings to continuously improve future events.

What we are looking for

  • Minimum of five years’ experience in event management at an international law firm.
  • Demonstrable experience in leading and delivering complex projects from inception to completion.
  • Exceptional verbal and written communication skills for interacting with clients and suppliers.
  • Demonstrate good budget management and supplier negotiation skills.
  • Excellent organisational and time management abilities with meticulous attention to detail.
  • Strong relationship building skills with both internal and external stakeholders.
  • A dedicated team player with an intelligent, pragmatic approach able to work effectively as part of a diverse, inclusive, and international team.
  • Solution-oriented – be resilient and have the ability to quickly resolve issues under pressure. Also looking for new ways of doing things.
  • Commercially astute with a focus on delivering value and ROI.
  • Flexible, proactive and able to adapt to changing priorities.
  • Willingness to work additional hours on occasion as required.
