The role: We are looking for a Credit Control Administration Assistant to join our Finance department in Bristol. The Credit Control Admin Assistant will play a vital role in supporting the credit control department to ensure the efficient management of the company's credit and the timely recovery of debts. This position combines administrative tasks with some direct communication with clients and partners to monitor and maintain account balances.

What will you do:

  • Sending monthly Statements.
  • Response Management: Deal with responses to monthly statements, including copy invoices and processing invoice amendment requests.
  • Onboarding Process: Assist with credit checking and updating Intapp during the onboarding process.
  • Adhoc/Manual Reports for Partners: Prepare and distribute various reports, such as weekly Excel reports for a variety of partners and teams.
  • Regular Client Reports: Run global client debt reports for key clients and share them with various partners and/or client contacts.
  • Bank Details Verification: Receive calls from various clients wanting to verify bank details.
  • Email Addresses Sourcing: Manually source missing email addresses for monthly statement submissions.
  • Remittance Advices: Note remittance advices on the credit control software.
  • Reminder Letters: Assist in sending team automated reminder letters and cover when the team is on leave. Help in dealing with responses where copy bills are needed.
  • Supplier Forms: Complete supplier forms/new vendor forms to enable new clients to set us up on their system and pay us. This often includes sending W8s and bank details.
  • Client eBill Checking: Frequently check the status of key client eBills on client platforms to flag issues early.
  • Payment Queries: Address payment queries from cashiers, such as underpayments/overpayments, currency exchange rates, and allocation issues due to no remittance. Note up and flag issues to Credit Control to sort balances.
  • Discount Write-offs: Deal with prompt payment discount write-offs.

What we are looking for:

  • Experience: Previous experience in a credit control, collections, or similar administrative role is an advantage but not essential.
  • Technical Skills: Proficiency in Microsoft Office Suite, particularly Excel.
  • Communication Skills: Excellent verbal and written communication skills.
  • Attention to Detail: Strong attention to detail and accuracy in maintaining records.
  • Organisational Skills: Ability to prioritise tasks, manage time effectively, and meet deadlines given.
  • Team Player: Ability to work collaboratively within a team and support colleagues when needed.
