To provide executive assistant support to the British Racing Drivers’ Club (BRDC) Managing Director and comprehensive administrative support to the BRDC Event Manager and BRDC Membership Manager for the delivery of BRDC events and membership activities. The BRDC owns and operates Silverstone, and its membership are the most successful racing drivers from Great Britain and the Commonwealth, acting as the guardians of British Motorsport.
Key Responsibilities:
- Executive Assistant
- Providing point of contact support between the MD and internal/external stakeholders
- Manage and maintain the MD’s diary, including scheduling meetings, appointments, and travel arrangements
- Prepare and edit correspondence, reports, and presentations
- Assist with the preparation of agendas, minutes, and actions
- Handling confidential information with discretion and professionalism
- Process expense claims and maintain accurate records
- Support with special projects, research, and document management
- Event Administration
- Requirement for attendance at the British Grand Prix, BRDC and non-BRDC events at Silverstone and elsewhere, on occasions, including at weekends
- Process payments and update booking records
- Distribute appropriate event passes/tickets
- Liaise with key stakeholders
- Create information packs
- Send out contracts to temporary staff and return to the People & Culture team
- Produce briefing/hospitality tab sheets for catering team
- Receive and manage bookings
- Produce catering function sheets for events in the Clubhouse
- Liaise with Silverstone security team regarding BRDC requirements throughout the year, including major events
- Support with other event administration duties as required
- BRDC Office Support
- Support the BRDC office team and BRDC Managing Director with administrative duties as required
- Assist BRDC Members with general enquiries
- Raise purchase orders and arrange payments to be made
- Liaise with external suppliers
- Communications Administration
- Support, including management of external agencies, the production and update of BRDC content across various physical and digital channels including Social, Web, Email etc.
- Database & Records Management
- Implement and maintain efficient filing systems, both physical and electronic
- Update membership logs/documents for Members
- Maintain event booking records and systems
- Update sales documents and corresponding payment records
- Pass & Printing Administration
- Ordering supplies including lanyards and printer supplies
- Receive requests from Members for additional passes throughout the year – take payment, print passes and distribute
- Produce list of BRDC passes valid for entry to weekend events at Silverstone and send to IT for uploading to main gate.
Skills, Knowledge and Expertise:
- Proven experience as a Senior Administrator, PA, or Executive Assistant (minimum 3-5 years)
- Strong administrative and organisational skills
- Excellent attention to detail
- Event administration experience (in person and remote)
- Proficiency with databases and membership systems
- Experience with payment processing and basic financial administration
- Team player with a positive attitude
- Good communication skills for Member interactions
- Ability to work to deadlines and manage multiple bookings
- Comfortable with design software and MailChimp/email platforms
- Familiarity with project management and AI tools
- Customer service focused approach
