As the Workplace and Visitor Coordinator, your role is integral to creating an enjoyable and productive working environment at SilverDoor. You will ensure the smooth running of the day-to-day operations of the London Global HQ office environment and ensure that all visitors have a 5* experience. This is a broad, hands-on role where no two days look the same. From managing front-of-house and overseeing day-to-day facilities, to supporting company events and health & safety compliance, you’ll be a proud brand ambassador for SilverDoor, someone who takes real ownership, solves problems proactively, and brings energy and professionalism to everything they do.

Based in our Chiswick Park office, you’ll work closely with the Global Workplace Operations Coordinator with the opportunity to expand your remit to support our global office locations as you grow into the role. The working hours for this role are 08:30 – 17:00, Monday-Friday.

Responsibilities:
  • Front of House and Reception
    • Serve as the first point of contact for all clients, guests and visitors. Welcoming them promptly, confidently and warmly.
    • Maintain a professional, tidy and well presented reception and office at all times.
    • Manage visitor check in procedures, parking requirements, and security protocol compliance.
  • Workplace Operations
    • Take day-to-day ownership of the London office, ensuring smooth operations and consistently high standards.
    • Act as the primary contact for all office-related queries, responding promptly and effectively.
    • Liaise with building and site management to coordinate services and address issues efficiently.
    • Work with the Global Workplace Operations Coordinator to resolve maintenance needs quickly.
    • Manage and update office policies and procedures to maintain efficiency and compliance.
    • Lead new starter health & safety training and office induction onboarding, including administration of building access passes for staff and visitors, maintaining accurate records and ensuring compliance.
    • Champion a positive health & safety culture, acting as a designated Fire Warden and First Aider (full training provided).
    • Take responsibility for the overall cleanliness and presentation of the office environment, working closely with the facilities team and contracted cleaners to ensure standards are consistently met.
    • Keep the team informed of relevant office, building, and Chiswick Park updates.
    • Manage all incoming and outgoing post and courier deliveries, ensuring items are distributed promptly and handled securely.
  • Supplier & Contractor Management
    • Manage relationships with office suppliers and contractors ensuring consistent service standards and value for money.
    • Monitor and replenish office supplies ensuring stock levels are maintained.
  • Event & Project Support
    • Provide support for planning and management of company events, helping to ensure maximum engagement for our team members by encouraging social activities and employee wellbeing.
    • Support the management of SilverDoor's Placement Academy house, acting as a point of contact for placement year students and coordinating day-to-day requirements related to the property.
Experience:
  • Similar experience in a similar role such as Receptionist, Administrative Assistant or Office Coordinator.
  • Knowledge of Health & Safety standards and workplace compliance is a plus (training provided).

  • Excellent written and verbal communication skills, with the ability to communicate with all levels of the business.
