Situated in the heart of Pollok, our modern 50-bed nursing home provides high-quality nursing, dementia, complex and palliative care in a warm, welcoming environment where residents truly feel at home.

About the Role: Silverburn Care Home is looking for an experienced, organised and dependable Care Home Administrator to support the smooth day-to-day running of our home. This is a varied role combining reception, resident administration, staff administration and general support to the Care Home Manager. We are looking for someone who enjoys being at the centre of a busy environment, takes ownership of their responsibilities and can provide a professional and welcoming point of contact for residents, families, staff and visitors.

About You:

  • Manage reception and act as a professional and welcoming first point of contact for residents, relatives, visitors and suppliers.
  • Answer telephone calls, emails and general enquiries.
  • Maintain accurate resident and administrative records.
  • Support resident admissions and associated documentation.
  • Maintain and reconcile residents' personal monies and petty cash, ensuring accurate records and receipts are retained.
  • Assist the Finance Team with any information and documentation necessary to enable accurate and timely invoicing.
  • Forward relevant invoices, receipts, expenses and supporting information to the Finance Team.
  • Maintain accurate and confidential employee records.
  • Support staff administration including timesheets, holidays, absence records and training documentation.
  • Assist with recruitment administration, pre-employment checks and onboarding of new employees.
  • Maintain organised electronic and paper filing systems.
  • Prepare correspondence, reports, spreadsheets and other documentation when required.
  • Arrange meetings and take minutes where required.
  • Assist with maintaining records and documentation for audits and regulatory inspections.
  • Provide administrative and operational support to the Care Home Manager when necessary.
  • Liaise with Head Office, support teams and external organisations as required.
  • Undertake other reasonable administrative duties necessary for the smooth running of the home.

We're looking for someone who:

  • An experienced administrator with excellent organisational skills.
  • Confident working independently and taking ownership of their responsibilities.
  • Accurate, numerate and comfortable maintaining petty cash and administrative records.
  • Confident using Microsoft Office, particularly Word, Excel and Outlook.
  • Professional and discreet when dealing with confidential information.
  • Friendly, approachable and confident dealing with residents and their families.
  • Able to prioritise effectively in a busy environment.
  • Comfortable supporting a Care Home Manager and wider team with changing day-to-day priorities.
  • Previous care home experience is welcomed but not essential—we value attitude, compassion and a willingness to learn just as much as experience.
